Job description
Adecco is currently hiring a Senior Administrative Coordinator for a full-time contract opportunity supporting senior leadership within a fast-paced and structured environment. This role is ideal for an experienced administrative professional who excels at supporting executives, managing priorities, and handling confidential information with discretion.

  • Salary : $25-$35 per hour
  • Location: Toronto, ON
  • Schedule: Monday to Friday, 8:00 AM - 4:30 PM
  • Employment Type: Full-time (6-month contract)
  • Vacancy Status: This posting is for an existing vacancy.
  • Secret Level Clearance is mandatory.
Responsibilities
  • Provide advanced administrative support to senior leadership (Directors, DGs, ADMs), including calendar management, meeting coordination, and prioritization
  • Coordinate executive meetings, prepare agendas, record minutes, track action items, and follow up on deliverables
  • Serve as a key point of contact for internal and external stakeholders
  • Draft, edit, and quality-control correspondence, briefing notes, presentations, and reports
  • Ensure all documents meet organizational and Government of Canada standards
  • Support procurement processes, contracts, invoices, and expense tracking
  • Assist with budget monitoring and administrative reporting
  • Provide administrative support for staffing, onboarding, offboarding, and organizational changes
  • Coordinate documentation and liaise with HR partners
  • Maintain electronic and physical records in compliance with information management and privacy requirements
  • Ensure proper version control, classification, and document integrity
  • Identify opportunities to improve administrative processes and workflows
  • Provide guidance or mentorship to junior administrative staff when required
Qualifications
  • Must be eligible to work and reside within Canada
  • Demonstrated experience providing senior-level administrative support in a complex, fast-paced environment
  • Strong experience with calendar management, meeting coordination, and correspondence preparation
  • Excellent written and verbal communication skills in both English and French
  • Proven ability to handle sensitive and confidential information with discretion
  • Experience in records and information management
