Job Description
The Subcontract Administrator provides site-specific administration of engineered equipment, site works, professional services, and permanent plant materials subcontracts. Responsibilities include day-to-day administration of subcontracts while interfacing with project procurement, project control, finance, and operations groups.
Key Responsibilities:
Administer contracts with suppliers, vendors, and other representatives. This includes negotiating terms, ensuring compliance with contract provisions, and maintaining positive relationships with all parties involved.
Work with contract handlers to ensure conformance to contract provisions and assist contract handlers with contract correspondence. This involves reviewing contract terms, advising on contractual obligations, and ensuring all communications are documented.
Prepare change orders and claim packages. This includes coordinating with project teams to assess changes, negotiating terms with subcontractors, and maintaining records of all modifications.
Support payment approvals. This involves verifying invoices, ensuring compliance with payment terms, and resolving any payment disputes.
Support the resolution of subcontractor grievances and claims. This involves investigating issues, mediating disputes, and implementing solutions to prevent future problems.
Support the review of subcontractor claims and contracts for conformance to project policy. This includes conducting thorough reviews, identifying any discrepancies, and ensuring all contracts are in line with project requirements.
Apply subcontracting policies and procedures. This includes conducting training sessions, distributing policy documents, and monitoring adherence to guidelines.
Qualifications
Proficient in Microsoft Office (PowerPoint, Word, Excel) and a general knowledge of database utilization; technical proficiency is essential for maintaining accurate records and facilitating smooth operations.
• Bachelor’s degree in construction management, business, engineering, supply chain management, or an equivalent degree; this educational background ensures a solid foundation in the principles and practices relevant to the role.
• Minimum of one to three years of experience in an engineering and/or construction-related role; this experience is crucial for effectively managing subcontracting processes.
• Basic knowledge of all areas of procurement, including procurement execution, estimating, expediting, offsite supplier quality, subcontract administration, and site purchasing; this knowledge allows for informed decision-making and efficient resource management.
• Detail-oriented, highly motivated with the ability to effectively manage time; these qualities are essential for maintaining high standards and meeting project deadlines.
• Excellent interpersonal, written, and verbal communication skills, enabling clear and effective interaction with team members, subcontractors, and stakeholders; strong communication is key to successful collaboration and conflict resolution.
• A team player with the ability to work independently to meet deadlines, goals, and objectives; this balance of teamwork and independence is important for achieving project success.
