Job description

Job Title : Asset Management Administrator

Reports to : Manager GIS Department

Type : 12 month contract

Location : Toronto, ON

Overview :

This role serves as a Sr. Asset Management Administrator dealing with management staff on complex current and / or short-term information technology needs for IT products (computers, servers etc) using the BMC Remedy Asset Management tool.  The successful candidate will be ITIL Foundation certified and possess a strong background in user training and support documentation as well as have a strong background in Asset Management procedures.   This is a Senior level role, requiring leadership and coaching skills.

Must Have Skills :

1. ITIL certified; fluent in the use of BMC Remedy tool for Asset Management

2. Possess strong Data Analysis skills : capable of performing comparisons and merging date; experience performing SQL queries is a bonus : High level of proficiency using MS Excel.

3. Experience providing Document Audit and Verification

4. Outstanding communications skills both written and verbal with strong documentation skills

5. Comfortable delivering and presenting training materials (which you will write and prepare) to new users involved in Asset Management.

Experience Required

  • Undergraduate degree in Information Systems, Engineering, Business Administration or Sciences
  • Excellent communications and interpersonal skills
  • Minimum of 7 years combined experience in the Pharmaceutical / Process Industry, Consumer Packaged Goods, Information Systems, Project Management OR a Management Consulting Environment
  • ITIL Foundation Certification or demonstrated knowledge of the ITIL Framework.
  • Experienced at performing queries and audits of the Asset Management database.
  • Experience in conducting Asset tracking and reporting
  • Able to investigate problems by identifying the root cause or event.
  • Experienced at identifying and improving process related Asset Lifecycle Management
  • Experienced at providing documentation related to the Asset Management process.
  • Capable of providing training in Asset Management tools to new users.
  • Experience utilizing SAP Procurement, Receiving and Service Entry including an understanding of Invoice entry in SAP.
  • Proficient in use of office automation tools including : Word, Excel, Access, Project, Outlook
  • A strong team player that can multitask in a busy environment.
  • Strong problem solving skills; able to manage multiple priorities to accomplish objectives and adjust for problems and roadblocks
  • Excellent organizational and time management skills.
  • Possess a strong background in user training and support documentation

Job Responsibilities :

  • Provide the IS (Information Services) Department with assistance and consultation, whenever necessary.
  • Ensure that all work is performed in compliance with Good Manufacturing Practice, Good Laboratory Practice, and Standard Operating Procedures and according to established safety standards.
  • Ensures work is performed in compliance with the IS Incident Management process and IS Change Management process.
  • Provide accurate and complete documentation of processes and procedures to ensure that systems can be supported
  • Investigate, diagnose and resolve incidents with customers.
  • Update the call tracking system in accordance with IS processes.
  • Provide customer service as outlined in the IS Service Level Agreement
  • Proactively advises clients on developments in relevant information technology.
  • Responds to complex and / or unconventional queries from managers, team members, other employees, and internal customers and provide policy interpretations, technical and business process advice in their area of technical information technology expertise.
  • Conducts the complex information technology activities and / or elements of projects within area of expertise.
  • Utilizes often highly analytical techniques in the performance of functional duties and to identify process inefficiencies and root causes of issues with managers, suppliers and contractors, or other external stakeholders in order to determine action.
  • Begins to take on a technical leadership role providing technical expertise and incorporates a commitment to ongoing professional development and continuous learning.

  • Develops and maintains an in depth understanding of all internal company policies, procedures and standards and operating processes associated with their information technology area.
  • Ensures that all team members and relevant internal / external stakeholders are aware of current company, association and government directives and acts in compliance with these directives with their clients.
  • Provides a more experience level of input into the development and updating of information technology professional standards, policies and procedures and operating processes.
  • Is proficient in use of office automation tools including : Word, Excel, Power Point and Outlook
  • Works to ensure Expense Reports and Employee Time Exceptions Forms are completed on a timely basis when required.
