Reception Duties: 40%

  • Receiving, welcoming, and referring visitors to the relevant individual or department
  • Managing visitor incoming and outgoing log as well as maintaining a professional appearance of the reception area
  • Connecting callers to the most appropriate contact or department
  • Overseeing incoming and outgoing couriers; coding, distributing, and filing as required
  • Supporting the branch leadership with corporate visits to branch, arranges meetings, office spaces, and luncheons
  • Dispersing email announcements regarding building changes and general updates
  • Assisting management in coordinating relief reception backup when the regular backup is away or unavailable
  • Ensuring all visitors and contractors complete orientation and receive PPE if they require it
  • Coordinating incoming and outgoing assets; ensuring recovery of replaced devices, ensuring devices are assigned to the correct employees/managers

Administrative Duties: 60%

  • Responsible for Parts team’s time entry including but not limited to updating shift schedules, vacation schedules, sick time, and over time, ensuring overtime has management approval and all Kronos time is balanced with the approved employee timecard, before the payroll cut off
  • Creating and closing POs for the branch including parts (as required), service (as required), and office supplies
  • Providing administrative support to the branch employees and leadership
  • Ordering and coordinating office supplies, photocopier supplies, company business forms, business cards and letterheads for branch
  • Assisting branch departments with administrative projects
  • Training new and relief administrators and keeping reference material up to date
  • Assisting facilities department with tasks such as filing, uploading to the server, report preparation, and mailing out
  • Submitting building maintenance requests and requirements as required
  • Processing department related invoices and POs as needed
  • Posting any informational updates around the building as required
  • Responsible for the preparation of bank deposits; ensuring cash float is always balanced, ensuring float is kept locked and put away when not directly in use, performing quarterly float reconciliations for the Credit team
  • Sorting and filing incoming and outgoing freight BOLs, MOGs, Courier Waybills, and ensuring waybills are coded accordingly
  • Other duties as required.

Education & Experience:

  • Minimum 2 years of experience in an administrative or customer service-related role
  • Prior experience working in a dealership will be an asset
  • Business Management or related education will be an asset
  • Strong computer skills including Microsoft Office, specifically Excel is required
  • Strong interpersonal and customer service skills is required
  • Demonstrated ability to adapt to various situations and solution-oriented approach
  • Exceptional communication – Verbal and written.
  • Must be a team player willing to aid in situations when needed
