Position Description
The Administrative Assistant provides essential coordination and administrative support to the DSO Service Navigation/Assessor team, ensuring efficient client flow and accurate information management. This role is responsible for supporting client intake processes, coordinating assessment appointments, maintaining data integrity, and facilitating communication with clients, caregivers, and partner organizations. The position plays a key role in delivering timely and client-centered services within a fast-paced environment.
Main Responsibilities
The duties of the Administrative Assistant are but not limited to:
- Triage the client waitlist to identify the next candidates to be contacted for their assessment meetings
- Contact Client/Caregiver's to coordinate meetings including explaining the process, reviewing forms to ensure they are prepared for the upcoming assessment meetings.
- Manage and access a cancellation list for rescheduling meetings.
- Prepare the Welcome Package to be sent out to clients in preparation for their meeting
- Access data base(s) to update client information including current contact information and contacts
- Digitize forms that need to be transferred to database file
- Securely transfer files via database portal to partner DSOs as needed.
- Provide support to the Service Navigation Team with data migration projects
- Knowledge and understanding and or lived experience with Developmental Disabilities
Qualifications
- Post-secondary education is preferred.
- Good communication, teamwork, and leadership skills.
- Ability to work independently and meet assigned deadlines.
- Knowledge of Microsoft Office 365 applications (Outlook, Word, Excel, PowerPoint).
- The successful candidate must provide an acceptable Police Records Check (Vulnerable Sector Screening).
- Fluency in French is considered an asset.

- Must be between 15 and 30 years of age.
