The Distillery Restaurants Corp.

is looking for an Office Coordinator to join our team!

The Office Coordinator is responsible and accountable for the smooth operation of the Distillery Restaurant Corp’s (DRC) head office.

Specifically, the Office Coordinator closely supports the Vice President and is responsible for monitoring and actioning emails directed to the Vice President, creating slide decks for various meetings and initiatives, coordinating meetings and appointments, and assisting with various marketing projects.

This position requires complete discretion, excellent time management, organization, communication, problem-solving, computer, and interpersonal skills.

The incumbent also needs to be able to work in a fast-paced environment.

A confident command of Microsoft Office programs – namely Power Point and Excel – is required.

What you’ll be doing: Manage a dynamic calendar and inbox, flagging time-sensitive matters and ensuring nothing falls through the cracks.

Action incoming emails as necessary – delegating tasks/forwarding emails to the appropriate people to resolve as many issues as possible.

Actively handle, schedule and coordinate the work and workday; identify and indicate items requiring urgent action and prioritize other matters, including material preparation.

Research solutions to flag issues as they arise and resolve questions whenever possible.

Communicate urgent items to the Vice President daily, making a prioritized list of urgent/important items.

Create slide decks for all meetings delivered by the VP.

Create and maintain accurate reporting of all VP expenses.

Responsible for permits, and other administrative requirements.

Order office supplies.

Manage company email account/s.

Organize office events and parties.

Maintain a site activity calendar and ensure all stakeholders are aware of deadlines and are delivering on time.

Act as spokesperson for The Distillery Restaurants Corp., responding to inquiries as necessary.

Additional related duties as required.

What you’ll bring to the office: EDUCATION.

Either formal Admin education or schooled through life lessons, you bring knowledge – notably, you’re a whiz with Microsoft Office programs – perhaps Canva, InDesign and Illustrator too.

EXPERIENCE.

You’ve worked in an office environment or in the restaurant/hospitality field, and you’re often the person who is keeping everyone informed and organizing the work space.

COMMUNICATION.

You’re comfortable being in the centre of the hive!

You have excellent written and verbal communication abilities and excellent interpersonal abilities, relating to a variety of stakeholders at different levels in the organization.

POWER POINTER.

You love creating engaging presentations that draw the eye to the most important points.

You know how to make an impact.

MARKETER.

You enjoy being creative and you know how to sell an idea.

You love creating engaging visuals in Canva and other software.

A SENSE OF URGENCY.

Everyday can’t be an urgent day, but you have an extra gear for the days that it’s required.

You have high empathy, and can sense when to provide support at double speed!

FLEXIBILITY.

You can easily adjust your priorities based on changing events in a calm and professional manner.
