Job description

Do you have a talent for anticipating what comes next, bringing order to complexity, and helping a busy leader stay focused on what matters most?

We are seeking an experienced Executive Assistant to provide senior-level support to the Founding Principal of one of the world's leading sustainable design firms in Vancouver, BC.

At MGA, architects, designers, and changemakers are tackling some of the most complex challenges facing our built environment. From mass timber innovation and cultural landmarks to Indigenous community projects, hospitality spaces, educational campuses, and civic buildings, their work is grounded in a simple belief: design can create a better future for people and the planet.

Behind every visionary leader is someone who brings focus, structure, and momentum to the work around them.

As Executive Assistant, you'll become a trusted partner to MGA's Founding Principal, helping manage a complex calendar and inbox, coordinate frequent business travel and speaking engagements, prepare briefings, track commitments, and keep leadership priorities moving forward.

You'll work closely with senior leadership, finance, business development, and the Studio Coordinator, ensuring the Founding Principal is prepared, important relationships are thoughtfully supported, and decisions do not get lost in the pace of a busy international design practice.

What You'll Do

  • Manage and strategically prioritize the Founding Principal's complex calendar, inbox, meetings, and commitments
  • Coordinate frequent business travel, weekly regional travel, client visits, conferences, lectures, and speaking engagements
  • Prepare briefing notes, meeting materials, presentations, background research, and detailed itineraries
  • Coordinate senior leadership meetings, confidential governance records, and action-item follow-up
  • Support the Founding Principal's business development activities through contact research, CMAP updates, meeting preparation, and relationship follow-up
  • Coordinate the Founding Principal's contribution, review, and approval for proposals, fee letters, contracts, and other business documents
  • Manage expense reporting, billable time coordination, professional requirements, and secure access to business platforms
  • Bring clarity, discretion, and consistent follow-through to a varied and fast-moving portfolio

What You'll Bring

  • 5+ years of progressive experience supporting a senior executive, owner, founder, or principal
  • Experience within architecture, design, engineering, consulting, or another professional services environment is preferred
  • Demonstrated success managing complex calendars, executive travel, confidential correspondence, and shifting priorities
  • Strong business writing, editing, research, and document-preparation skills
  • Exceptional discretion, sound judgment, organization, and follow-through
  • The confidence to manage upward, clarify priorities, and constructively protect an executive's time
  • Advanced proficiency with Microsoft 365 and experience with CRM, project-management, or professional-services systems
  • Experience with CMAP or a similar project-management system is an asset

Why MGA?

MGA is a practice built on curiosity, innovation, and the belief that design can create a better future. As Executive Assistant, you'll help create the focus and coordination that allow the Founding Principal and senior leadership team to move ambitious ideas forward.

You'll join a globally recognized studio where sustainability, innovation, and curiosity shape everything they do. Recent work includes a surf pool clubhouse, a Gulf Island hotel, an airport terminal and restaurant, a children's library, headquarters for an electric boat company, a new Ronald McDonald House, and community projects developed alongside First Nations partners.

You'll have meaningful visibility into the leadership and direction of the practice, build relationships across the business, and play an important role in helping one of the world's leading sustainable design firms operate at its best.

MGA offers:

  • Competitive salary of $85,000-$100,000
  • Comprehensive benefits package
  • MGA's unique Adventure Bonus program
  • Meaningful, purpose-driven work
  • A collaborative, high-performing team
  • The opportunity to contribute to one of the world's leading sustainable design firms

If you're looking for a role where your judgment will be trusted, your contribution will be visible, and your work will help a visionary leader and creative practice thrive, we'd love to hear from you.

How to apply:

We encourage you to review this opportunity on the TallSky Consulting Group's Career Page and forward your resume that clearly outlines how your skills and experience meet the requirements of this role to TallSky Consulting Group.

We are committed to building inclusive cultures that embrace differences. Our approach reflects professional employment equity practices, and we believe in celebrating each candidate's uniqueness. Diverse teams learn how to communicate respectfully, deliver more innovative solutions, and are better positioned for long-term success.

This position will remain open until it is filled. We thank all applicants; however, after initial acknowledgement, only those selected for further consideration will be contacted.
