Legal Administrative Assistant / Executive Assistant
Location : Vancouver, BC
Employment Type : Full-time
Salary Range : $70,000 $85,000 + benefits
Our client, a well-established Vancouver law firm, is seeking a highly organized and trusted Legal Administrative Assistant / Executive Assistant to support senior firm leadership and lawyers within a busy Real Estate practice. This role is well suited to an experienced EA or senior LAA who brings strong judgment, discretion, and the ability to manage competing priorities in a professional services environment.
The Role
This position provides high-level administrative and executive support to firm leadership, while also assisting lawyers with legal and operational matters. The successful candidate will act as a key point of coordination within the firm and serve as a reliable right hand to senior stakeholders.
Key Responsibilities
- Providing comprehensive administrative and executive support to senior firm leadership and Real Estate lawyers
- Managing highly confidential and sensitive information with discretion and professionalism
- Acting as a liaison between internal teams and external contacts, prioritizing urgent and time-sensitive matters
- Managing multiple Outlook calendars, key dates, bring-forward systems, and scheduling internal and external meetings
- Assisting with meeting preparation, presentations, and special projects
- Coordinating travel arrangements, itineraries, and expense submissions
- Preparing, formatting, editing, and proofreading legal documents and correspondence
- Maintaining and organizing complex legal files and document management systems
- Supporting monthly billing and administrative processes from start to finish
Qualifications & Experience
Completion of an accredited Legal Administrative Assistant or Executive Assistant programApproximately 35 years of experience supporting senior leadership in an executive assistant or senior administrative roleExperience in a law firm or professional services environment strongly preferredExposure to real estate practices is an assetExceptional attention to detail and organizational skillsStrong written and verbal communication skillsProficiency with Microsoft Office and Adobe PDF; experience with legal document management and accounting systems is an assetAbility to multitask, prioritize effectively, and perform well in a fast-paced environmentHigh level of professionalism, discretion, and sound judgmentCompensation
