Randstad Operational is seeking a dedicated Sales Administrator to join a leading and long-established bus distributor at their facility in Brantford, Ontario. This permanent, full-time position is ideal for an individual who thrives in a manufacturing & logistics environment and enjoys the complexity of coordinating high-value vehicle specifications. As a Sales Administrator, you will play a critical role in the heart of the business, acting as the primary administrative support for a team of road-based sales representatives who rely on your expertise to deliver accurate and timely quotes to their clients.
This Sales Administrator role is far more than simple data entry. You will be tasked with analyzing representative requests by consulting technical blueprints and assessing the feasibility of various vehicle customizations, such as specialized seat placements or door configurations. In the fast-paced manufacturing & logistics sector, your ability to maintain a strong sense of urgency while ensuring 100% accuracy is vital; a single error in confirming a feature can result in significant financial consequences. You will also be responsible for producing price requests, submitting external bids to municipalities, and coordinating work with various subcontractors.
Beyond the technical requirements, our client is looking for a "sunshine yellow" personality—someone who is positive, bubbly, and deeply customer-oriented toward the internal sales team. You will work closely with the Sales Director in a supportive, non-stressful office atmosphere characterized by low turnover and a sense of family closeness. Responsibilities
• Analyze detailed requests from sales representatives and respond to calls for tender in collaboration with the designated representative.
• Submit accurate bids on vehicles, including bodies and chassis, after a thorough review of all available options and specifications.
• Complete competitive allowance (CA) requests for government institutions or high-volume clients when required.
• Produce and manage price requests to be submitted to external suppliers for specialized features such as air conditioning or 4x4 conversions.
• Request and review floor plans for specific tenders and minibus shells to ensure technical feasibility.
• Submit discount requests and track vehicle counts alongside discounts received from various suppliers.
• Update tenders with new pricing and vehicle specifications to provide sales representatives with current information.
• Create and manage new orders within the WEB order system and the Odoo ERP/CRM platform.
• Allocate vehicles to representatives with confirmed dates and monitor supplier vehicle reports daily.
• Coordinate delivery delays and vehicle movements between suppliers, representatives, and various locations.
• Coordinate complex transactions with subcontractors for vehicle customizations.
• Support the department's continuous improvement and strategic planning initiatives within the manufacturing & logistics framework.
Qualifications
• College diploma in administration or a related discipline.
• 5 years of experience in a similar Sales coordinator or administrative support role an asset.
• Proven experience with ERP and CRM systems; experience with Odoo is a significant asset.
• Background knowledge of engines, cars, or trucks is beneficial.
• Ability to work 100% on-site for a 40-hour work week in Brantford, ON.
• Successful completion of a criminal record check and a financial/credit check.
• Exceptional attention to detail with the ability to perform complex technical analysis of vehicle specifications.
• High level of system agility, particularly with ERP and CRM software such as Odoo.
• Strong proficiency in Microsoft Office, with a confirmed ability to navigate and utilize Excel for data tracking.
• Excellent verbal and written communication skills to maintain relationships with internal sales teams.
• Resourcefulness and the ability to take initiative in a moderately paced but urgent environment.
• Strong interpersonal skills and a "customer-oriented" approach toward supporting the sales team.
• Ability to read and interpret blueprints or floor plans to assess customization feasibility.
