About the Role
Provides senior confidential secretarial and administrative services to the Department Chair, Graduate and Undergraduate Chairs, Director of the Asia-Canada Program, and other Department faculty and assists the Manager, Academic and Administrative Services as required. Responds to requests for information from undergraduate and graduate students and faculty on program requirements, university regulations, financial aid, scholarships, fellowships, fees and deadlines. Word processes various materials and maintains and updates databases and spreadsheets. Maintains all faculty and instructor administration files and prepares all paperwork related to faculty appointments, promotion and, tenure and salary review. Acts as recording secretary for ad hoc committees and departmental meetings.

They take initiative, act with professionalism and integrity, and have excellent analytical reasoning, problem solving, and conflict resolution skills. They have some experience with arts and humanities education and appreciate its importance in today's world.
Qualifications
High School graduation and one year of post-secondary education including training in word processing, database, and spreadsheet applications; and training in secretarial practices. 3 years related experience. An equivalent combination of formal education, certificate/program of study and experience is acceptable.
- Knowledge of (1) graduate program policies and procedures; (2) SFU hiring, and tenure and promotion processes, (3) SFU payment processes via FINS, non-employee expense claims, payment requisitions, and invoices.
- Excellent organizational, interpersonal, and communication (oral and written) skills.
- Ability to organize and prioritize among various tasks and meet deadlines.
- Ability to work flexible hours to attend occasional weekend and evening events.
- Proficient in the use of enterprise level information systems, content management systems and standard office software applications (e.g., FINS, SIMS, Slate, GA3, AEM, Zoom, Adobe Acrobat, Word, Excel).
