We are seeking a fulltime Project Coordinator / Project Manager to support our Unexploded Explosive Ordnance (UXO) department in our Fredericton, NB office.

The successful candidate will have the following :

Educational & Experience Requirements :

  • Diploma or Certificate in Business Administration, Science, Engineering, Environmental, or related field preferred.
  • Strong attention to detail and organizational skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Ability to prioritize tasks and manage time effectively.

Main Duties :

The successful candidate will be able to demonstrate experience in the following :

Project Coordinator

Alternate Company Security Officer (ACSO), responsible for initiating and reviewing security clearance applications (e.

g., Reliability Status, Secret Level II) for all staff through the Federal Contract Securities Program. Also responsible for completing and submitting Security Requirements Checklist (SRCL) for subcontractors and Request for Visit Forms (RVF) for access to secure sites as well as responsible for maintaining the company’s registration in the program.

  • Company Designated Official for the Federal Controlled Goods program. Responsible for facilitating and carrying out security assessment for UXO staff, including a detailed review of their applications which include verification of their residential, education, and work history, criminal background and personal references.
  • Maintain GEMTEC’s certification for the Federal Controlled Goods program.
  • Manage timecard and expense entries for a high volume of employees, ensuring accuracy and compliance with company policies.
  • Review and carry out Quality Control checks on UXO field reports such as the Daily Operations Reports, Daily Quality Control Reports, Daily Safety Reports, Tailgate Forms, Demolition Forms, etc.
  • Coordinate flight arrangements for employees, including booking flights, hotels, transportation, and managing travel itineraries.
  • Draft and issue employee contracts, ensuring all necessary terms and conditions are included and accurately documented.
  • Confirm and coordinate new hire paperwork and onboarding documents, ensuring all required documents are completed and filed appropriately.
  • Provide administrative support to various departments as needed, including scheduling meetings, preparing documents, and organizing files.
  • Assist with special projects and initiatives as assigned.
  • Adhering to all company policies.
  • Other duties as required

Quality Manager

  • Preparing, maintaining, and carrying out an annual review of all quality management documentation (i.e., Quality Manual, Quality Policy, Quality Management Procedures such as Corrective Action and Risk, Control of Documented Information, Internal Auditing and Purchasing Procedures, Work Plans, Standard Operating Procedures, Reports, Forms, Checklists etc.).
  • Maintaining the Qualifications, Training and Security Clearance Log, the Corrective Action and Risk Log, the Approved Suppliers List, Client Feedback Log, and the Standards and References Log.
  • Planning, facilitating, and participating in internal and external audits carried out by sub-consultants for ISO certification.
  • Facilitating strategic planning and management review meetings.
  • Briefing new staff on the QMS.
  • Managing the Corrective Action and Risk Log to ensure that suitable corrective action, risk mitigation and timely responses from Process Owners are documented as well as preparing and / or reviewing Non-Conformance Reports.
  • Reviewing and carrying out Quality Control checks on UXO field reports such as the Daily Operations Reports, Daily Quality Control Reports, Daily Safety Reports, Tailgate Forms, Demolition Forms etc.
  • Maintaining the QMS file structure as well as the file structure of individual projects including the electronic filing of documentation.
  • Adhering to all company policies.
  • Other duties as required.
