Administrative Assistant (Government)
Our client is looking for a detailoriented professional to support community corrections programs in a dynamic government setting. This role is essential to maintaining efficient operations providing administrative assistance to Probation Officers managing offender records and ensuring accurate data entry. With a strong emphasis on professionalism confidentiality and collaboration this position contributes directly to the delivery of critical services within the justice system.

3month contract.
Fulltime position : 36.25 hours per week.
Schedule from 8 : 15 am to 4 : 30 pm.

Location : Downtown Calgary office (onsite work).
Responsibilities :
Provide administrative support services to Probation Officers including managing reception (in person and by telephone) and accurately handling inquiries screening calls and taking messages.
Assist clients in completing applicable office reporting forms and book appointments in the absence of assigned Probation Officers.
Sort and distribute incoming and outgoing mail.
Prepare timesensitive and confidential court reports correspondence and related documents.
Maintain offender files in accordance with established guidelines including opening closing storing and archiving files.
Ensure accuracy in data entry into the Offender Records and Correctional Administration (ORCA) system and manage file transfers and updates.
Conduct research and perform updates on ORCA exception lists and related tasks.
Utilize Justice Online Information Network (JOIN) to obtain and update offender information.
What you will need to succeed :
High school diploma or GED.
Relevant postsecondary education in office administration is an asset.
1 year of experience in a similar role.
Experience using Microsoft Office Suite tools including Word Excel and Outlook.
Clear verbal and written communication skills and the ability to interact professionally.
Strong attention to detail and ability to prioritize tasks and manage multiple projects.
Ability to learn quickly problemsolve and work independently.
