Payroll & Accounts Payable Administrator

Reports To

The Payroll & Accounts Payable Administrator will report to Senior Controller.

Job Overview

The Payroll & Accounts Payable Administrator is responsible for end-to-end payroll processing, employee onboarding/offboarding logistics, supporting accounts payable, and assisting with general finance and office tasks. Success in this role requires high accuracy, strict adherence to compliance deadlines, and seamless record-keeping within the company’s accounting systems.

Responsibilities and Duties

Payroll & Benefits Administration

  • Process bi-weekly and monthly payroll accurately and on time.
  • Review and validate timecards, statutory holiday pay, overtime, vacation balances, sick pay, bonuses, and statutory deductions.
  • Prepare Records of Employment (ROEs), T4s, and year-end payroll reconciliations.
  • Remit and file monthly/annual statutory remittances (Payroll taxes, EHT, WCB/WorkSafe, and GST).
  • Administer group health benefits and manage employee/employer RRSP contributions.
  • Prepare and post payroll-related journal entries and reconcile payroll GL accounts.
  • Serve as the primary contact for employee inquiries regarding pay, deductions, and benefits.

Accounts Payable & General Accounting

  • Assist with full-cycle AP: review invoices, match receipts/purchase orders, and prepare payments.
  • Reconcile monthly supplier/vendor statements and resolve invoice discrepancies.
  • Track, categorize, and reconcile corporate credit cards and expense reimbursements.
  • Assist the Senior Controller with month-end closing tasks and journal entries as needed.

HR & Administrative Support

  • Coordinate administrative onboarding and offboarding for staff (system setup, documentation, equipment tracking, and offboarding checklists).
  • Maintain confidential employee files and ensure compliance with provincial labour standards.
  • Assist with the preparation and submission of proposals (RFPs).
  • Periodically post job opportunities and manage recruitment for field positions.
  • Provide general office support, including answering inquiries and routing communications as needed.

Requirements

Qualifications – Must Have:

  • 2–3+ years of Canadian payroll processing experience.
  • Strong knowledge of Canadian payroll legislation, CRA requirements (CPP, EI), and BC Employment Standards Act.
  • Core accounting knowledge (understanding GL entries, reading financial statements, and performing account reconciliations).
  • Proficiency with Microsoft Office suite (Outlook, Word, Excel, Powerpoint)
  • High attention to detail, strong discretion with confidential data, and excellent time management skills.
  • Strong written and verbal communication skills.

What we're looking for - Nice to Have:

  • Experience with QuickBooks Time and QuickBooks Payroll (or similar cloud accounting software).
  • Experience in the Construction or Contracting sector (job costing exposure is a plus).
  • Certified Payroll Management Professional (CPCP / PCP) designation or active pursuit of designation.

The annual compensation for this role is $55,000 - $75,000 CAD per year, commensurate with experience, technical qualifications, and relevant certifications.
