Position Summary
The Administrative Assistant is a member of the Food & Beverage Team, responsible for administrative support and to ensure that matters are attended to in an effective and efficient manner. This position is the face of the Food & Beverage Team and will support the F&B Retail team with payroll, employee scheduling, employee correspondence, office process development for Stampede 2026.
Responsibilities
Responsibilities of this role include, but are not limited to:
- Reception: answers phones and emails
- Provide administrative support services to the Food & Beverage team including data entry, payroll, reports, invoicing, client requests and other general administrative duties
- Employee follow up on missed shifts, required training, documentation
- Create and maintain business documents using Word, Excel, and Publisher
- Maintain customer and event database
- Order office supplies and maintain equipment
- Mail distribution
- Deliver the highest standards of customer service and excellent interpersonal skills
- Other duties as assigned
Qualifications
The ideal candidate will be reliable, highly motivated, proactive, energetic and have the ability to multi-task. He/she will have excellent telephone decorum and a positive customer service attitude as well as the following:
- Attention to detail and a high level of accuracy
- Able to work independently and within a team environment
- At least two years of office experience
- At least one year of hospitality experience, preferably in food and beverage
- Able to deal with a fast-paced environment and tight deadlines
- Intermediate to expert level computer skills in MS Word, Excel, PowerPoint, Publisher and Outlook
- Minimum typing speed of 45 words per minute
- Experience with Momentus is an asset
- Experience with UKG is an asset
- Experience dealing with a high volume of email and phone calls is an asset
- A college diploma or university degree would be an asset.
