Job description

Step into a high-paced, highly rewarding role as a Customer Service/Order Desk Representative with a leading industrial distributor in Scarborough. We are seeking a dedicated order desk professional to join a supportive, long-tenured team within our customer care and business administration portfolio.
As a Customer Service Representative, you will be the backbone of daily operations, ensuring seamless order entry and exceptional client satisfaction. Your expertise will be crucial in managing a high-volume order desk, processing 25 to 50 orders daily, and adapting to customized proprietary ERP software. This Customer Service Representative position offers the chance to thrive in a friendly environment where internal advancement is highly encouraged.

This role requires full professional proficiency in English, as you will communicate daily with English-speaking clients, vendors, and internal teams across the network to provide quotes, negotiate pricing, and finalize orders.

Advantages
• Competitive annual salary ranging from $55,000 to $65,000, depending on experience.
• Quarterly branch bonus potential of approximately $250 when gross profit targets are exceeded.
• Excellent benefits package which includes options for healthcare coverage, tuition reimbursement, vacation, sick, and holiday pay.
• RRSP matching up to 5% (following a 6-month waiting period).
• Three weeks of vacation time to support your work-life balance.
• Free on-site parking at the Scarborough office location.
• Consistent, flexible set shifts (Monday to Friday, 40 hours a week).

Responsibilities
• Handle 25 to 50 daily B2B customer care interactions via email, phone, and electronic order systems.
• Accurately process customer orders, enter data into the ERP system, and issue timely price quotes.
• Source products across branch, distribution center, and supplier inventories to meet client specifications.
• Negotiate sales and purchase pricing within approved parameters to maximize profitability.
• Partner with account representatives and vendor networks to manage backorders, expedite shipments, and streamline product logistics.
• Utilize Microsoft Excel to filter spreadsheet data, log client requests, and maintain clean operational records.
• Maintain current knowledge of industrial equipment, pneumatics, hydraulics, or electrical parts to better support client technical needs.
• Participate in comprehensive system training, onboarding, and ongoing mentorship to build strong product expertise.

Qualifications
• 1 to 2+ years of order desk or customer care experience (5+ years in industrial equipment/parts preferred for senior compensation levels).
• Solid understanding of order processing, vendor sourcing, and logistics workflows.
• Proven track record of computer literacy and high adaptability to custom software tools.
• High school diploma or GED equivalent.
• Full-time, on-site availability at the Scarborough branch location (5 days per week).
• Proficiency in Microsoft Office, particularly Microsoft Excel for data logging, filtering, and analysis.
• Exceptional adaptability and willingness to learn custom Enterprise Resource Planning (ERP) software.
• Strong written, verbal, and active listening communication capabilities in customer care settings.
• Excellent time-management skills with the ability to prioritize tasks in a fast-paced environment.
• Problem-solving aptitude with a strong customer-first orientation.
