We are looking for a highly organized and proactive Personal Assistant to support a busy individual with their personal and work-related obligations. Based in Vancouver, British Columbia, this role requires exceptional multitasking skills and the ability to manage tasks with precision and discretion. The ideal candidate will have a proven track record of coordinating schedules, overseeing property management, and handling various administrative responsibilities with efficiency.
Responsibilities :
- Coordinate and manage a complex calendar, ensuring all appointments, meetings, and events are scheduled seamlessly.
- Organize travel arrangements, including booking flights, accommodations, and transportation for both business and personal trips.
- Oversee the management and maintenance of multiple properties, including liaising with property managers and service providers.
- Supervise household staff and service providers, providing direction and troubleshooting issues as they arise.
- Handle expense management, including paying bills, tracking utilities, and processing reimbursements.
- Plan and coordinate events, ensuring all details are managed effectively in collaboration with other team members.
- Assist with hiring and onboarding staff for property and household needs.
- Run errands, collect mail, and complete other personal tasks as required.
- Travel occasionally to provide on-site support as needed.
- Minimum of 5 years of experience in a personal assistant or related role.
- Strong organizational and time management skills with the ability to prioritize tasks effectively.
- Proven experience with calendar management and scheduling.
- Familiarity with accounting software systems and expense tracking tools.
- Excellent problem-solving skills and a customer service-oriented approach.
- Ability to manage household staff and contractors with professionalism.
- Proficiency in using office software, including Adobe Acrobat and scheduling applications.
- Willingness to travel occasionally to fulfill job responsibilities.
