Your future role

Take on a new challenge and apply your organizational and communication expertise in a transformative project. You’ll work alongside a collaborative, dynamic, and forward-thinking team.

You'll play a central role in ensuring smooth operations and fostering positive relationships between Project Management and external stakeholders. Day-to-day, you’ll work closely with teams across the business (such as the Project Management, EHS, and IS&T teams), manage administrative tasks, and facilitate seamless communication between key stakeholders, and much more.

You’ll specifically take care of coordinating project-related administrative tasks, including office management and travel arrangements, but also assist with onboarding, asset management, and event preparation.

We’ll look to you for:

  • Coordinating, managing, and prioritizing the day-to-day administrative activities for the Project Director and project team

  • Supporting complex travel arrangements and itineraries for team members and visiting VIP guests

  • Managing office allocations, project directories, and organization chart updates

  • Preparing and formatting a range of materials such as emails, reports, and presentations

  • Receiving, archiving, and formatting incoming and outgoing correspondence

  • Handling purchase requests for office supplies and subcontractor services and validating invoices

  • Assisting with onboarding/offboarding processes and supporting the EHS team with PPE management

  • Validating subcontractor timesheets and managing office assets

  • Providing event preparation support as needed

  • Taking initiative to support other project-related tasks as required

  • Bachelor’s Degree in Business Administration

  • A minimum of five years of experience in a project assistant role

  • Knowledgeable in all standard MS Office tools

  • Fluency in English; French is desirable

  • Ethical behavior and transparency in all tasks

  • Team player with a proactive and adaptable mindset

Compensation

The expected compensation for this role is $60,000 – $80,000 CAD per year, plus benefits and eligibility for an annual performance bonus. Final compensation will be based on skills, experience, and internal equity.
