Job Description Summary
The Associate Director, Administration and Operations within the Centre for Teaching, Learning and Technology (CTLT), provides strategic leadership and domain expertise for the administrative work of the unit and leads select projects on behalf of the Academic Director. This includes people development and management practices, administrative leadership and oversight of unit operational functions such as finance, HR, communications, and facilities, along with responsibility for select projects that enable the Academic Director to advance CTLT’s priorities and commitments. As part of CTLT’s Senior Management team (SMT), the Associate Director works collaboratively with the rest of the SMT to provide strategic leadership for the CTLT and to ensure connections between the work of the administration portfolio and other areas of the unit's work in supporting teaching and learning.
Organizational Status
The Centre for Teaching, Learning and Technology is a central academic service unit that provides leadership, academic services, and support to the university community in the areas of teaching and learning scholarship, course and program development, learning design, educational technology development, instructional support, and teaching practice development.The Associate Director, AO :
Reports to the Academic Director.
Works in partnership with the senior management team (SMT); provides strategic advice and guidance on high level administrative matters, and take a lead role on administrative projects that strengthen CTLT’s contribution to departmental and institutional goals.
Oversees the work of the Planning, Administration and Communications (PAC) team.
Liaises regularly with the Director of Finance in the Provost’s office and with senior academic and administrative staff across the institution.
Work Performed
Leads the development of comprehensive strategies, projects, best practices, and continuous improvement initiatives in operational and unit-wide activities including human resources, facilities, health and safety, administration, finance, and communications.
Oversees the leadership and day-to-day operations of CTLT’s Administration portfolio, including Human Resources, Financial Management, Facilities Management, and Communications.
Leads human resources activities and strategies. Oversees the CTLT’s annual performance review process. Works closely with UBC’s central HR team to ensure best practices around human resources are being implemented.
Leads the overall annual budget and financial processes for CTLT in consultation with the Academic Director. Supports CTLT budget owners around financial and budgeting decisions and planning. Creates unit-wide guidelines for budgetary and financial processes.
Oversees the development and implementation of the overall communication strategy in the unit. Works closely with the CTLT Marketing and Events Manager, and the VPA Communications team to ensure internal and external communications produced are in line with CTLT vision, mission, and values and UBC best communications practices.
Leads the planning and execution of strategic and cross-functional projects in collaboration with, and at the direction of, the Academic Director. These projects may relate to strategic planning, institutional alignment, governance and reporting frameworks, partnership activities, or cross-unit process improvement efforts that advance the CTLT’s strategic priorities and operational excellence.
Collaborates with other CTLT SMT members to provide leadership for the unit to further decolonization and reconciliation efforts, as laid out in UBC's Indigenous Strategic Plan. Guides the PAC team’s work to further the realization of reconciliation in teaching and learning across the University.
Collaborates with other CTLT SMT members to provide leadership for the unit to further equity, diversity, and inclusion (EDI) as laid out in UBC’s inclusion and anti-racism plans and frameworks. Guides the PAC team’s work to further the realization of EDI in teaching and learning across the University.
Collaborates with other CTLT SMT members in strategic governance and budgeting processes for the CTLT, collaboratively setting the unit’s goals, projects, and budget priorities and ensuring effective collaborations across teams in the unit.
Collaborates with other SMT members to advance organizational change initiatives to accommodate new initiatives and evolving needs. Leads administrative change management efforts and promotes continuous improvement across the unit.
Leads the PAC team at CTLT. Creates and maintains a respectful and inclusive team dynamic and working environment that brings together different ideas, experiences, skills, and knowledge to meet strategic goals of the unit and the university. Leads managers and staff in the understanding of university and unit strategy, goals, and objectives. Translates the strategy of the CTLT SMT into actionable plans, ensuring the overall intention is understood and that outcomes are achieved. Ensures the clear establishment of goals for staff and monitors and evaluates staff and unit progress towards these goals. In consultation with the Academic director, makes decisions around people and financial resources to support the work of the team.
Builds and maintains effective relationships with institutional partners across the Provost’s Office, faculties, and central units to coordinate strategic projects and align CTLT operations with broader university frameworks and initiatives.
Performs other related duties or special projects as required.
Consequence of Error / Judgement
The Associate Director, AO, plays a pivotal role in setting the overall strategic direction of the CTLT and makes decisions regarding human resources and finance which could impact significantly on operational and financial outcomes. Errors in judgment may result in the inefficient use of resources, increase the unit's liability to risk, and may consequently damage the image, mission, and reputation of the University and CTLT.

Leads the PAC team directly and indirectly through subordinate managers.
Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of seven years of related experience, or the equivalent combination of education and experience.-
