Job description

Are you a organized, proactive Office Administrator looking to elevate your career with an industry-leading client in Calgary? Randstad Professional is actively seeking a multi-talented Office Administrator to manage day-to-day office operations, oversee safety compliance, and provide vital administrative support within a fast-paced industrial manufacturing environment. In this key business administration role, you will serve as the central hub of the workplace, creating a welcoming atmosphere for all visitors while ensuring internal systems, safety procedures, and administrative workflows run seamlessly.

As an Office Administrator in Calgary, your responsibilities will span across front desk reception, workplace health and safety coordination, basic financial recordkeeping, and operational organization. A major highlight of this business administration position involves maintaining and supporting the company’s Certificate of Recognition (COR) safety program, ensuring full compliance with health and safety regulations. Working within the industrial manufacturing sector, you will interact with contractors, clients, and internal teams daily, balancing receptionist duties with core administrative functions such as filing, office supply inventory, conference room management, and light QuickBooks bookkeeping. If you possess outstanding organizational abilities, a professional demeanor, and a keen eye for safety compliance, this business administration role in Calgary offers an exceptional chance to shine.

Sought after skills:
• Exceptional verbal and written communication skills with a professional, polished demeanor.
• Strong organizational, time-management, and multitasking capabilities with proactive problem-solving initiative.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and digital filing systems.
• Practical familiarity with QuickBooks software for basic invoicing and financial data entry.
• Demonstrated attention to detail in document tracking, health and safety records, and general recordkeeping.
• Physical capability to organize inventory, move office supplies, and maintain overall facility tidiness.
• Collaborative mindset with a friendly, inclusive approach to working with co-workers, vendors, and visitors.

Advantages
• Competitive compensation package aligned with industry standards in Calgary.
• Full-time regular hours in a dynamic, growing industrial manufacturing environment.
• Opportunity to broaden your skill set in business administration, health & safety compliance, and financial operations.
• Convenient Calgary location with accessible parking and professional workplace amenities.
• Expert guidance and career advocacy from dedicated Randstad Professional recruiters throughout your engagement.

Responsibilities
• Warmly greet incoming visitors, clients, and contractors at the front desk while managing incoming phone calls, general email inquiries, and mail delivery.
• Oversee and maintain the company's Certificate of Recognition (COR) program, ensuring safety tracking, document filing, and full regulatory compliance.
• Provide essential day-to-day administrative support, managing both electronic and physical filing systems for the office team.
• Monitor, order, and organize office supply inventory, ensuring common spaces, conference rooms, and reception remain neat and professional.
• Assist with basic financial support tasks including invoice sorting, basic data entry, and light bookkeeping using QuickBooks.
• Coordinate office operations to facilitate clear internal communication across all departments within the industrial manufacturing facility.
• Maintain strict confidentiality, adhere to company protocols, and handle routine inquiries with exceptional customer service and efficiency.
• Support team members with general administrative tasks to ensure seamless business administration workflow.

Qualifications
• Active Certificate of Recognition (COR) certification in Health & Safety (Required).
• 2+ years of hands-on experience in office administration, reception, or office coordination.
• Demonstrated technical proficiency in Microsoft Office Suite; prior experience using QuickBooks is highly advantageous.
• Strong working knowledge of administrative procedures, safety document management, and general reception standards.
• Ability to physically manage office supplies, stock inventory, and ensure common spaces remain presentable.
