Lead Dispatcher in Burlington

We are seeking a Lead Dispatcher for one of the largest independent distributors in Ontario. This company is a family-owned Canadian business and a Platinum Club winner of Canada’s Best Managed Companies. The ideal candidate is a senior-level logistics professional with direct experience managing internal, asset-based fleets and the technical proficiency to lead a team through a transition from paper-based processes to TMS. They must possess strong interpersonal skills to handle diverse driver personalities and the multitasking ability to oversee fleet vehicles and high-volume daily deliveries in a fast-paced distribution environment.

Responsibilities
DISPATCH & TRANSPORTATION OPERATIONS
- Act as the lead point of contact for daily transportation dispatch, delivery scheduling, route execution, and tracking activities.
- Coordinate and adjust delivery routes and schedules based on volume, priority, capacity, service commitments, and operational constraints
- Monitor dispatch boards and delivery queues throughout the day and proactively address: Delays, missed or at-risk deliveries, route inefficiencies, coverage gaps
- Support balanced workload distribution across drivers and routes to ensure timely and efficient service.
- Serve as the first escalation point for delivery exceptions, urgent requests, or service disruptions
- Maintain accurate and up-to-date delivery status, notes, and documentation within dispatch and transportation systems
- Ensure proof of delivery, signatures, and system updates are completed accurately and consistently
- Communicate real-time delivery updates and changes to branches, sales teams, warehouse teams, and customers as required

FLEET COORDINATION & UTILIZATION
- Monitor daily fleet availability, assignments, and utilization
- Coordinate with fleet maintenance partners to support preventative maintenance, inspections, and repairs
- Track vehicle downtime, recurring issues, and capacity constraints, escalating as required
- Assist with overflow planning and coordination of third-party carriers when volume exceeds internal capacity
- Support adherence to safety standards, company policies, and transportation best practices

LEAD ROLE & COLLABORATION
- Serve as a go-to resource for dispatch processes, systems, and transportation best practices
- Support onboarding and training of new dispatch team members through job shadowing, knowledge sharing, and real-time guidance (without formal people management responsibility)
- Provide informal coaching and in-the-moment support to Dispatchers and Drivers to promote accuracy, consistency, and efficiency
- Lead by example through strong organization, communication, and customer service standards
- Act as a key liaison between Dispatch, Transportation, Distribution Centre, Branches, and Sales to ensure alignment and smooth operations

CUSTOMER SERVICE & COMMUNICATION
- Communicate clearly and professionally with internal teams and customers regarding delivery status, delays, or changes
- Support timely resolution of delivery-related issues to maintain high customer and internal satisfaction
- Ensure exceptions are documented appropriately and follow-up actions are clearly communicated and completed

PROBLEM SOLVING, QUALITY & COMPLIANCE
- Identify day-to-day dispatch, routing, or delivery issues and recommend practical operational improvements
- Support continuous improvement of dispatch workflows, routing practices, and delivery execution
- Ensure transportation activities follow documented procedures, safety requirements, and compliance standards
- Support clean data practices and consistent documentation within dispatch and transportation systems


Qualifications
- High School Diploma (Logistics, Transportation, or Operations diploma considered an asset)
- Previous experience in dispatching, transportation coordination, logistics, or delivery operations preferred
- Experience acting in a lead or senior dispatcher/coordinator role is an asset
- Strong proficiency with dispatch and transportation systems
- Excellent organizational, time management, and communication skills
- Ability to manage multiple priorities in a fast-paced, time-sensitive operational environment
- Strong attention to detail with comfort reviewing delivery metrics and performance trends
- Basic analytical and problem-solving skills
- Intermediate computer proficiency (Outlook, Excel, Word, Office 365)
- Ability to work effectively in a collaborative, multitasking team environment
