Job description

We are looking for an experienced Administrative Assistant to join our team in Burlington, Ontario. In this long-term contract role, you will provide essential administrative support, ensuring the smooth operation of daily office activities. This position requires strong organizational abilities and excellent communication skills to effectively manage tasks and assist team members.

Responsibilities :

  • Welcome clients warmly and professionally upon their arrival.
  • Monitor the main email inbox, forwarding messages to the appropriate staff members.
  • Coordinate and schedule client appointments with the Partner.
  • Provide administrative support during tax season, including printing and assembling tax returns.
  • Perform accurate data entry and handle various general office tasks.
  • Scan and file confidential client documents securely.
  • Deliver tax returns and related records to clients as needed.
  • Assist with maintaining and organizing client records.
  • Support the team with any additional administrative tasks as required.
  • Ensure all tasks are performed with attention to detail and efficiency.
  • Minimum of 3 years of experience in office administration or a similar role.
  • Proficiency in Microsoft Excel, Word, and Outlook.
  • Strong communication skills, both verbal and written.
  • Exceptional attention to detail and organizational abilities.
  • Ability to manage multiple tasks and prioritize effectively.
  • Experience with QuickBooks is considered an asset.
  • Familiarity with scheduling appointments and handling email correspondence.
  • Willingness to work in-office Monday to Friday, with occasional overtime as needed.
