Job description

Integrated Staffing is currently recruiting for a Part-Time Administrative / Tenant Services Coordinator for an opportunity with a growing property management company in the Saint John, NB area. This position is ideal for an organized, adaptable, and customer-focused individual who is comfortable communicating with tenants and contractors and can provide professional front desk and administrative support.The successful candidate will assist with tenant inquiries, maintenance coordination, scheduling, billing, and general administrative duties. Previous Buildium experience is considered a strong asset, as the successful candidate will be expected to become comfortable with the system and related processes.Key Responsibilities

  • Answer incoming calls and respond professionally to tenant inquiries.
  • Prepare, enter, and manage work orders using Buildium.
  • Coordinate maintenance and renovation requests with tenants, contractors, and internal team members.
  • Process and track maintenance and renovation related billing.
  • Order appliances and coordinate deliveries and installations.
  • Schedule inspections, maintenance appointments, and property showings.
  • Follow up with tenants, contractors, and internal team members to ensure requests are completed in a timely manner.
  • Maintain accurate records and documentation.
  • Provide front desk reception and general administrative support.
  • Assist with day-to-day property management administrative activities.
  • Adapt to changing priorities and provide support in different areas as required.
  • Perform other duties as assigned.

Qualifications

  • Previous administrative, reception, customer service, or property management experience is preferred.
  • Previous Buildium experience is a strong asset.
  • Strong organizational and time management skills.
  • Excellent verbal and written English communication skills.
  • French language skills are considered an asset.
  • Professional and comfortable communicating with tenants, contractors, and internal team members.
  • Strong attention to detail and ability to maintain accurate records.
  • Ability to prioritize multiple requests and manage competing deadlines.
  • Comfortable using computer systems, email, and Microsoft Office.
  • Ability to learn new software and processes quickly.
  • Reliable, professional, and adaptable with a strong sense of responsibility.
  • Ability to work independently while also being a collaborative team member.
  • Previous experience in property management or working with tenants is considered an asset.

Working Conditions

  • Work takes place primarily in a professional office environment.
  • Regular interaction with tenants, contractors, service providers, and internal team members.
  • Position involves frequent computer, telephone, and email use.
  • Must be comfortable managing multiple requests and changing priorities throughout the day.
  • Part-time schedule initially, with the potential to transition to full-time.
