Job Summary

Dalhousie University’s Faculty of Engineering (FoE) is a research-intensive Faculty that thrives on research excellence, strategic partnerships, and stakeholder engagement. Reporting to the Director, Finance and Administration, the Administrator is responsible for the effective and efficient management of administrative functions within the departments of Mechanical, Civil and Resource, and Process Engineering and Applied Science Engineering, supporting the departments’ teaching and research activities.

Key Responsibilities

  • Manage student supports and daily operations within departments to enable workflow of services provided to teaching, academic programs, and research activities.
  • Work closely with administrative staff and support units across the university to support students and student planning.
  • Manage departmental operating and special purpose accounts. Control expenditures, analyze variances and advise on budgetary implications.
  • Work with department heads and director to develop and implement departments’ multi-year expenditure plans. Manage cost recovery endeavours of the departments.
  • Serve as primary resource for departments on HR policies and processes. Manage the departments’ administrative staff including hiring, performance feedback, and supervision.
  • Manage the implementation of special projects. This includes developing and monitoring tracking and delivery systems for accreditation requirements.

Note

The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work from within Nova Scotia) as agreed by all parties based on operational requirements and university guidelines.

Required Qualifications

  • Undergraduate degree in a relevant field with approximately three to five years’ related experience (or equivalent combination of training and experience).
  • Strong financial and personnel skills including previous budget management and supervisory experience.
  • Excellent communication (verbal and written) and interpersonal skills.
  • Demonstrated organizational skills, initiative and the ability to work both independently and in a team environment.
  • Strong computer skills, including MSExcel, MSWord, data storage, and project management software.

Assets

  • Experience in a university setting and/or experience in academic program administration.
  • Experience supervising unionized staff.
