Job Description Summary
Reporting to the Associate Dean, Academic, the Manager, Curriculum and Academic Projects provides Faculty-level leadership and specialized operational expertise in support of the Faculty of Science Academic Portfolio. The position manages Faculty-level curriculum governance and approval, the Faculty's BSc specialization placement process, and the Student Experience of Instruction (SEI) administration and reporting, and leads academic process improvement initiatives.


The role provides guidance to academic units on curriculum development and approval, and ensures compliance with University, Senate, and Ministry requirements. The position also supports data-informed decision-making through analysis, reporting, systems oversight, and process improvement activities.


Organizational Status
The position is part of the Faculty of Science Dean's Office Academic Portfolio, which oversees curriculum governance, learning and teaching. Reporting to the Associate Dean, Academic, the incumbent works independently under general managerial direction. The position may also receive direction on specific initiatives from the Associate Dean, Students.


The position works closely with Faculty leadership, Department Heads, Associate Heads, Program Directors, faculty members, curriculum representatives, and administrators across the Faculty of Science. The incumbent provides guidance and training on curriculum processes, specialization placement, and SEI administration.


The role liaises regularly with UBC Senate, Planning and Institutional Research (PAIR), the Centre for Teaching, Learning and Technology (CTLT), Information Technology, and other Faculties and administrative units across the University. The position also represents the Faculty of Science on institutional committees and working groups related to curriculum and student evaluation processes.


Work Performed

Curriculum Process and Projects Management
• Manages Faculty-level curriculum approval processes and governance, ensuring alignment with academic policies, governance requirements, and strategic priorities.

• Provides expert advice to academic units on curriculum policies, governance requirements, approval processes, and administrative implications regarding the development and approval of undergraduate Science curricula, including new programs, certificates, diplomas, and revisions to existing programs and courses.

• Provides guidance on proposed non-credit certificate and diploma credentials, including program structure, academic governance requirements, administrative and systems feasibility, and policy considerations, escalating complex issues as required.

• Monitors and facilitates the progression of curriculum proposals through unit, Faculty, and external approval processes including Senate, and, where required, Ministry of Post-Secondary Education and Future Skills; manages the integration of the Faculty’s internal governance and approval processes with external requirements.

• Advises and supports departmental curriculum representatives to ensure curriculum proposals are comprehensive, high quality, and aligned with University and Ministry requirements before submission to the Faculty Curriculum Committee.

• Develops and presents curriculum-related proposals and reports to the Faculty Curriculum Committee to support informed review and decision-making.

• As Faculty of Science's Curriculum Manager (non-voting), attends and contributes to Senate Curriculum Committee meetings; identifies potential impacts to the Faculty and escalates issues or concerns to the Associate Dean, Academic.

• Leads Faculty-level projects and initiatives related to Science’s Academic Portfolio (e.g., curriculum governance and academic administration), including project planning, stakeholder engagement, and implementation.

• Supports the implementation of strategic programs and curriculum initiatives (e.g., incorporation of Generative AI, Indigenization of Curriculum) in partnership with the Associate Dean, Academic, Senior Strategist, Educational Leadership Development and Curriculum Initiatives, and departmental leadership.

• Ensures the accuracy and integrity of the UBC Calendar for Science courses, degree programs, certificates, and diplomas, including admissions and program requirements, in accordance with approved curriculum and policies.


BSc Specialization Placements and Process Improvement
• Assesses student eligibility and makes placement recommendations and decisions for admission into second-year BSc specializations in accordance with established Faculty criteria and procedures, escalating exceptional or complex cases to the Associate Dean, Academic.

• Manages data related to the BSc specialization placement process, including student preferences, enrolment demand, and placement outcomes, and collaborates with the Dean's Office and Planning and Institutional Research (PAIR) to analyze trends and inform decision-making.

• Evaluates placement processes and outcomes and recommends improvements to enhance effectiveness, efficiency and student experience.

• Leads the implementation of process improvements, e.g., enhancements to student-facing tools and resources that support specialization and course-selection decisions.

• Liaises with IT Services and Faculty of Science analytics teams to identify business requirements and ensure effective implementation and maintenance of systems supporting specialization placement processes (e.g., specialization scenario builder and BSc specialization application platform).


Student Evaluation Systems, Analytics and Community Engagement
• Leads the Faculty-wide administration and governance of the Student Experience of Instruction (SEI) process, establishing effective practices that ensure data integrity, compliance with institutional requirements, and consistent delivery across academic units.

• Collaborates with Planning and Institutional Research (PAIR) to plan and coordinate Faculty-wide SEI data collection activities, including survey setup, implementation, closure, and reporting.

• Serves as the Faculty of Science representative on institution-wide committees and working groups related to student evaluation of teaching, contributing to the development, alignment, and continuous improvement of policies, processes, and systems.

• Develops and delivers analytical reports for Deans, Heads, Directors, and other senior leaders, interpreting evaluation data and designing or refining reporting frameworks, templates, and guidelines to support decision-making.

• Liaises with Department Heads, Program Directors, and Administrators regarding SEI setup, timelines, and administration, and develops surveys within the University's evaluation platform.

• Develops and delivers training materials, workshops, and resources for departmental and program administrators and establishes processes that support consistent and effective survey administration.

• Partners with the Skylight Senior Strategist and Science Education Specialists to develop and implement faculty development.

• Maintains records of operational issues and identifies opportunities to improve SEI systems, processes, and workflows.

• Provides troubleshooting, guidance, and support to instructors and administrators regarding the use of online course-evaluation systems.


Other
• Acts as primary administrative contact to the Academic Director of Science Outreach Program (i.e., Science 101 and Alumni 101).

• Performs other duties as required.


Consequence of Error/Judgement
Errors in curriculum advice, documentation, or process management could delay the approval or implementation of courses and academic programs, result in inaccurate Calendar information, or lead to non-compliance with University, Senate, or Ministry requirements.


Errors in the administration of the BSc specialization admission and placement process could result in incorrect or inequitable placement decisions, delayed student progression, poor student experience, loss of confidence among students and academic units, and reputational harm to the Faculty.


Errors in decisions related to the management of Student Experience of Instruction (SEI) surveys can result in a breach of trust, loss of credibility with students and faculty, and negative impacts on faculty tenure and promotion processes.


The position has access to sensitive personal and confidential information. Failure to protect the security and privacy of these data could result in harm to individuals, loss of institutional trust, and non-compliance with applicable privacy legislation and University policies.


Supervision Received
Reports to the Associate Dean, Academic and works independently under general managerial direction.

Supervision Given
Provides functional guidance and training to departmental and program faculty and staff regarding curriculum processes, BSc specialization placement procedures, and course-evaluation administration (in collaboration with PAIR). May coordinate the work of student employees or project contributors, as assigned.

Minimum Qualifications
• Undergraduate degree in a relevant discipline. Minimum of two years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications
• Undergraduate degree in a relevant discipline such as education, public administration, higher education, business administration, or a related discipline. Master’s degree considered an asset.

• Experience with post-secondary curriculum administration, student-information systems, survey or evaluation systems, data-reporting tools, or workflow and documentation platforms is preferred.

• Knowledge of University policies and procedures and Senate policy preferred.

• Experience interpreting and applying complex policies and procedures.

• Excellent judgment and decision-making skills, with the ability to prioritize competing demands.

• Experience working with confidential information and applying privacy requirements.

• Demonstrated analytical ability, including the ability to interpret complex data and identify discrepancies.

• Experience developing, analyzing and presenting reports for different audiences.

• Knowledge of project management principles and demonstrated ability to manage projects and processes.

• Effective time management and organizational skills.

• Excellent oral and written communication, interpersonal skills, and presentation skills.

• Ability to work with a diversity of people in a calm, courteous, and effective manner while adhering to established requirements.
