Our client is a top national law firm with multiple offices across Canada. Their Toronto office is hiring a Legal Assistant, Labour and Employment to support a dedicated group of lawyers.

The Role

Our client is looking is hiring an experienced Legal Assistant in their Labour and Employment practice to support and provide exceptional service to a dedicated group of lawyers.

You will be expected to coordinate the workflow, reviewing the completion of document production, file management, copying / scanning work and other administrative work.

You will work closely with lawyers and legal support staff to provide a high level of service to clients while also having opportunities to grow your skills as part of a successful team.

As a Legal Assistant in the Labour and Employment Practice, you will be a key member of a dynamic team. Your main responsibilities will include :

  • Manage calendars, arrange meetings, and handle travel bookings.
  • Coordinate office tasks such as photocopying, filing, and organizing couriers.
  • Support lawyers in marketing activities and preparation of pitches.
  • Handle phone queries and emails, ensuring timely responses.
  • Monitor lawyers' emails and manage client correspondence when necessary.
  • Liaise with support departments and communicate absences to relevant parties.
  • Assist in client care, intake, and maintenance of client information.
  • Arrange client meetings and address basic client queries.
  • Review documents before providing them to lawyers, draft correspondence, and maintain spreadsheets as needed.
  • Ensure proper time recording by lawyers and assist in billing processes.
  • Produce financial reports and handle financial transactions as required.
  • Provide support to lawyers and colleagues within the practice group.
  • Assist other members of the firm as needed and perform additional duties as requested.

The ideal candidate will come with the following qualifications :

  • Post-secondary degree or Diploma in legal studies
  • A minimum 3+ years’ experience supporting lawyers in labour and employment law
  • Understanding of litigation procedures
  • Proficiency in Microsoft Office and other relevant software.
  • Strong communication and organizational skills.
  • Attention to detail, flexibility, and proactive attitude.
  • Ability to handle pressure and meet deadlines.
  • Team player with a positive and solutions-focused approach to work.
