Labour and Employment Legal Assistant (Contract)
Salary : Up to $65K
Key Responsibilities
- Performs all clerical, administrative and general office duties for the assigned lawyer;
- Communicates with lawyer’s peers, subordinates, clients, boards, etc., to schedule appointments, arbitrations or appearances, and coordinates arrangements for meetings / conferences, etc.;
- Receives all incoming mail and redirects, prioritizes and records deadlines;
- Organizes and expedites the flow of work through the lawyer’s offices;
- Routes or answers routine correspondence and faxes not requiring the lawyer’s attention and initiates follow-up as required;
- Creates, types, formats, reviews and proofreads documents and correspondence to ensure compliance with legal procedures and grammatical usage;
- Prepares Ontario Labour Relations Board (OLRB), Grievance Settlement Board (GSB) and Human Rights Tribunal Ontario (HRTO) forms according to general instructions and / or precedents;
- Arranges for proper service and filing of OLRB, GSB and / or HRTO forms;
- Arranges for timely payment of invoices, completes expense reports, prepares file status reports, work-in-progress reports and pre-bills;
- Performs transcription functions as necessary and requested;Sets up and maintains filing systems, utilizing knowledge of legal records and procedures (including a tickler system) and frequently controls confidential materials and documents;
- Enters dockets daily, prepares time summaries and other reports as required;
- Follows proper file opening and closure procedures, coordinates file closings, and arranges for storage of closed files;
- Makes travel arrangements, including booking flights, hotels, vehicle rental, etc.;
- Provides secretarial assistance to other lawyers if time permits.
Qualifications
3+ of legal administration experience preferably in the field of Labour and Employment Law;Excellent and proven ability to communicate orally and in writing;Ability to communicate in French, orally and in writing, would be an asset;Strong understanding of Labour Board procedures;Strong attention to detail and excellent proofreading skills;Highly organized with an ability to prioritize, meet deadlines, multi-task; and adapt to frequently and rapidly changing priorities;Effectively work in a team environment or independently, as the situation requires;Excellent and accurate keyboarding skills with speed in excess of 55 words per minute;Experience with Word, Excel, PowerPoint and AdobePro;Working knowledge of document management systems (NetDocuments), and time management systems (Tikit / Soluno) would be an asset;Working knowledge of legal office administration through the completion of an office procedures course or related experience.Tagged as : Employment & Labour, Law Clerk
