Job description

In this role, you will be the administrative backbone of the field operations for an established and expanding regional leader in property maintenance and inspection services across the Kitchener, Waterloo, Cambridge, and Guelph corridors. Coordinating inspection schedules, liaising with clients and supervisors, and keeping daily operations running smoothly across the region.

Responsibilities
- Monitor and respond to incoming emails, phone calls, and dispatch inquiries promptly and professionally.
- Track field schedules, assign inspection routes and work orders, and relay critical updates between clients, supervisors, and field teams.
- Generate, maintain, and close out client work orders accurately within centralized management systems.
- Maintain up-to-date filing systems, meeting notes, project tracking spreadsheets, and compliance logs.
- Assist with basic payroll data entry, timesheet tracking, and candidate interview coordination as needed.
- Prepare routine status spreadsheets, letters, and administrative updates using standard productivity applications.
- Safeguard sensitive client details and proprietary operational information at all times.

Qualifications
- Must currently reside within the Kitchener-Waterloo, Cambridge, or Guelph area to accommodate regional context and occasional local operational touchpoints.
- 2+ years of administrative, dispatch, or office support experience (experience within building maintenance, construction, property management, or field services is a definite asset).
- Proficient with the Microsoft Office 365 Suite (Outlook, Word, Excel, and Teams) and comfortable learning modern scheduling, ticketing, and web-based database platforms quickly.
- Exceptional verbal and written English communication skills with a professional, customer-first attitude.
- Proven ability to juggle shifting priorities, handle multiple operational requests, and maintain immaculate attention to detail.
- A dedicated, quiet workspace free from distractions, paired with high-speed, dependable internet access.
- Prior exposure to basic payroll support, timekeeping, or entry-level recruiting support is valued.
