Due to significant growth in our business, we are seeking a dynamic and detail-oriented full-time Executive Assistant based in our Toronto office.
The objective of your job is to manage all aspects of the President’s daily schedule to ensure priority items are completed each day, and to assume or manage various tasks to clear time in the President’s schedule.
Working exclusively for the President of our company, your role will perform a variety of administrative, communication and time-management functions including, but not limited to :
- Arranging travel, hotel and transportation accommodations
- Providing calendar management to ensure smooth day to day operations
- Handling various incoming and response telephone and e-mail communications
- Assisting with e-mail management while prioritizing inquiries and requests
- Tracking and documenting all expenses
- Assisting with banking matters from time-to-time
- Working with our President on weekly work plan
- Scheduling and arranging meetings, both online and in person
- Completing various time-saving errands within the GTA
- Monitoring follow up on action items
- Providing support in event coordination and scheduling
- Assisting in developing & managing key business relationships including suppliers, customers, insurance, etc.
- Assisting with managing various building management items, including renovations, cleaners, tenants, landlords & building security
Is this the right role for you?
- A hybrid work schedule that will fluctuate from week-to-week, but will generally include 2 3 days in office (corresponding with the President’s schedule) and 1 2 days working from home or completing tasks within the GTA
- Ability to communicate and occasionally attend events outside of regular business hours
- An awareness that the role is varied, and will include routine errands such as banking, shopping and other daily tasks
- Ability to maintain complete confidentiality and privacy
- Ability to manage incoming and outgoing communications
- Ability to exercise good judgement in a variety of situations
- Strong written and verbal communication skills
- Excellent organization and administrative skills
- Proficient with Microsoft Office Suite
- Maintain balance among multiple priorities
- Positive attitude and willingness to commit to our company

What You'll Bring :
