The Department of Arts, Culture and Media (ACM) at the University of Toronto Scarborough (UTSC) is a vibrant department that brings together a wealth of artistic and academic activity under one umbrella.

Your opportunity :

Reporting to the Program Manager, the Programming Coordinator administers the annual slate of programming activities and experiential learning opportunities that support and enhance the Department’s research, curricular, and co-curricular programming.

Duties include but are not limited to planning, implementing, and providing logistical and administrative support for all programming activities across the Department.

This position also plays an active role in student development activities such as providing administrative support to the ACM Arts Management Field Placement and coordinating the implementation of the ACM Engage! Programs.

Duties include, among others, student recruitment; identifying volunteer opportunities and placements, providing orientation and resources, and assessing / reporting on students’ experience and program impact.

The incumbent also provides oversight to ACM’s student organizationsand acts as the coordinating body between student groups and the department.

This position works closely with the Program Manager and Business Officer on financial matters relating to programming activities.

Your responsibilities will include :

  • Conceptualizing, organizing and executing event activities
  • Planning and overseeing operational workflow of program administration activities
  • Overseeing space and resource requirements for events and related programming
  • Conducting post-event evaluation, analysis and recommendations for changes
  • Consulting with instructors, administrators and student groups on the development of tailored programming needs
  • Promoting experiential learning opportunities
  • Delivering presentations to promote programs, opportunities and / or initiatives
  • Implementing plans and process improvements for program and service activities

Essential Qualifications :

  • Bachelors degree, preferably in Arts Management or the visual and performing arts and / or an equivalent combination of education and experience.
  • Minimum 3 years of related and demonstrated experience in organizing, coordinating, marketing and implementing large-scale events.
  • Demonstrated experience supporting student development activities and / or programs
  • Budgeting and experience in leading a team.
  • Proven experience in handling a variety of projects, deadlines and schedules simultaneously and in providing training and presentations.
  • Demonstrated superior interpersonal skills and the ability to work collaboratively, build consensus, maintain confidentiality, exhibit sensitivity to the needs and interests of a variety of stakeholders, and support the functioning of a diverse project team.
  • Superb written and oral communication skills.
  • Advanced skill level using Microsoft Office suite.
  • Demonstrated willingness to take initiative and ability to offer creative solutions in problem solving.
  • Strong organizational skills coupled with the ability to handle multiple tasks, meet deadlines, and excel in a fast-paced environment characterized by changing priorities.
  • Applicants are also expected to show evidence of a commitment to equity, diversity, inclusion, and the promotion of a respectful and collegial learning and working environment.

Assets (Nonessential) :

  • Experience in apostsecondary environment.
  • Knowledge of event management applications such as Eventbrite, Air Table or similar is an asset.
  • Working knowledge of the not-for-profit arts and culture sector.
