The Department of Applied Psychology & Human Development (APHD) is a research-intensive Department, boasting some of the finest, internationally-known scholars in their fields who teach in our five graduate programs: Child Study and Education (Teacher Education program); Counselling and Clinical Psychology; Counselling Psychology; Developmental Psychology and Education; School and Clinical Child Psychology. Our programs focus on basic and applied research pertaining to children, adolescents and adults.


Your opportunity:

The Program Administrator is involved in the administration of two programs: Counselling and Clinical Psychology (CCP) and Clinical Psychology (CP) Program. The incumbent will be responsible for administering and advising students; processing applications; maintaining the database of student information; taking minutes at Committee meetings; preparing the comprehensive exams; screening scholarship requests; providing instructor and on-site staff support; communicating with local and overseas partners; and assisting in coordinating program events. The incumbent will also provide the programs with support in submitting documentation, updating records, and organizing site visits to meet the standards of the accrediting bodies associated with the programs. The incumbent will interact with other administrative support staff in sharing tasks related to the administrative support of the department. The Program Administrator will respond to diverse enquiries from the public, students, faculty and staff. Will be the main contact person for coordinating all administrative aspects of the programs including promotion, admission, registration and providing support to students.



Your responsibilities will include:

  • Acting as the key resource person for the CP and CCP program and plays an active role as the main resource person for the program, in all relevant program activities including special meetings, retreats, town halls etc.
  • Responding to enquiries within the defined scope of the role and redirecting as appropriate.
  • Assisting in the program accreditation process and quality assurance program reviews.
  • Assisting with the execution of recruitment plan including strategies to increase applications and enrolment from high quality candidates
  • Disseminating program materials to prospective students and applicants
  • Underthe direction of the Chair, implementing strategies and initiatives for the global recruitment initiatives of the department.
  • Providing admissions advice and information to students and parents regarding admissions, degree programs, curriculum, scholarships and awards, student services and other general student inquiries.

Essential Qualifications:

  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimum two (2) years of recent and relevant experience in an academic setting or educational environment.
  • Minimum two (2) years of experience supporting academic programs, including admissions, awards, and responding to student inquiries.
  • Demonstrated experiencereviewing and assessing student records to determine academic standing.
  • Demonstrated experience with coordinating program logistics, including program accreditation processes, course/exam timetabling, maintaining calendars, coordinating rooms assignments, and preparing documents and correspondence.
  • Experience with data collection and manipulation, admissions systems, course management and administration, scholarships and grants are required.
  • Experience with interpreting academic regulations, program and degree requirements
  • Experience with international student admissions.
  • Experience with online courseware systems such as Blackboard, including posting materials on the Web.
  • Experience with student information systems such as ROSI. Demonstrated use of social media tools (i.e. Facebook, LinkedIn, Twitter, etc.) and RSVP management tools.
  • Event planning experience is required.
  • Strong student service orientation: tact and diplomacy in dealing with students and students’ family members, relate well with a diverse student population, maintain confidentiality in working with student information
  • Strong communication (oral and written) and interpersonal skills.
  • Time management and event management skills
  • Strong analytical, organizational and planning skills.
  • Accuracy and initiative in handling multiple priorities. Ability to meet deadlines and work independently
  • Ability to learn new information and adapt to new processes quickly and at a detailed level


Assets (Nonessential):

  • Knowledge of Faculty, School of Graduate Studies and University of Toronto regulations, practices, programs and admission requirements is an asset.
