The Opportunity

Golden Life Management Ocean Front Village | Courtenay, BC
Position Type: Permanent, Full-Time (1.00 FTE)
Shift Schedule: Day
Shift Times: 8:00 – 16:00 (8-hour shifts)

Ocean Front Village is looking for a highly organized and proactive Office Manager to support the day-to-day administrative operations of our community. This is a key leadership role responsible for scheduling, payroll coordination, office administration, employee onboarding, and ensuring efficient office operations that support both staff and residents.

What You’ll Do
  • Coordinate and maintain employee schedules in accordance with collective agreements.
  • Monitor staffing levels to minimize vacancies and overtime while optimizing workforce productivity.
  • Review and verify employee timekeeping records and prepare payroll submissions each pay period.
  • Manage housekeeping department
  • Generate attendance, scheduling, and payroll reports for leadership.
  • Collaborate closely with department managers and supervisors to support staffing needs.
  • Lead and support scheduling staff while promoting efficient scheduling practices.
  • Manage office operations, including purchasing, receiving, and inventory of office supplies within budget.
  • Develop and maintain organized office and employee filing systems.
  • Coordinate new employee onboarding, including documentation, benefits enrollment, and orientation scheduling.
  • Monitor employee records to ensure required certifications, reviews, and documentation remain current.
  • Support attendance management processes in partnership with the Community Manager.
  • Perform other administrative duties that contribute to the smooth operation of the Village.
What You'll Bring
  • High school graduation plus Office Administration, Office Management, or related education, or an equivalent combination of education and experience.
  • Experience working with electronic scheduling and payroll systems.
  • Strong Microsoft Office skills, including:
    • Excel (formulas)
    • Word (advanced formatting)
    • Outlook
    • PowerPoint
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Exceptional customer service, communication, and conflict resolution skills.
  • The ability to prioritize multiple tasks in a busy environment.
  • Initiative and the ability to work independently with minimal supervision.
  • Experience in Long-Term Care is an asset.
