À propos du rôle

En tant que conseiller(ère) en gestion documentaire, vous jouerez un rôle central dans l’organisation, la fiabilité et l’accessibilité de l’information liée aux projets. Vous serez responsable de la mise en place, de l’application et de l’amélioration des processus de gestion documentaire conformément aux standards de l’entreprise.

Responsabilités principales

Développement et amélioration

  • Développer et mettre en œuvre des procédures, normes et meilleures pratiques

  • Assurer leur application sur l’ensemble des projets

  • Contribuer à l’amélioration continue des processus

Gestion documentaire

  • Assurer le suivi, le classement et l’archivage de la documentation

  • Veiller à ce que les documents soient à jour, correctement numérotés et conformes

  • Maintenir un système centralisé de gestion documentaire

  • Garantir l’accès aux versions approuvées

  • Coordonner le transfert documentaire lors de la clôture des projets

Coordination et communication

  • Collaborer avec les chargés de projets, ingénieurs, architectes et autres intervenants

  • Assurer la soumission et l’approbation des documents dans les délais

Contrôle de la qualité

  • Effectuer des vérifications qualité sur les documents entrants et sortants

  • Identifier et corriger les écarts, erreurs ou informations manquantes

Suivi et rapports

  • Produire des rapports de suivi documentaire

  • Mettre en évidence l’avancement, les risques et les enjeux

Profil recherché

Formation et expérience

  • Diplôme en administration, gestion de projets, ingénierie ou domaine connexe (ou expérience équivalente)

  • 3 à 7 ans d’expérience en gestion documentaire, idéalement en construction ou en ingénierie

Compétences techniques

  • Expérience avec des systèmes de gestion documentaire (Procore, SharePoint ou équivalent)

  • Maîtrise de la suite Microsoft Office

Compétences clés

  • Rigueur et souci du détail

  • Excellente organisation

  • Capacité à gérer plusieurs projets simultanément

  • Excellentes habiletés en communication et coordination

Document Control Advisor

A key role at the heart of our projects

About the Role

As a Document Control Advisor, you will play a critical role in ensuring the organization, accuracy, and accessibility of project documentation. You will be responsible for implementing, maintaining, and improving document control processes in line with company standards.

Key Responsibilities

Process Development and Improvement

  • Develop and implement document control procedures, standards, and best practices

  • Ensure consistent application across all projects

  • Support continuous improvement initiatives

Document Management

  • Manage the tracking, filing, and archiving of project documentation

  • Ensure documents are up to date, properly numbered, and compliant

  • Maintain a centralized document management system

  • Ensure access to the latest approved versions

  • Coordinate document handover at project close-out

Coordination and Communication

  • Collaborate with project managers, engineers, architects, and stakeholders

  • Ensure timely submission and approval of documents

Quality Control

  • Perform quality checks on incoming and outgoing documentation

  • Identify and resolve discrepancies, errors, and missing information

Reporting and Monitoring

  • Produce document control reports

  • Highlight progress, risks, and key issues

Profile

Education and Experience

  • Degree in administration, project management, engineering, or a related field (or equivalent experience)

  • 3 to 7 years of experience in document control, ideally in construction or engineering

Technical Skills

  • Experience with document management systems (Procore, SharePoint, or equivalent)

  • Strong proficiency in Microsoft Office Suite
