Job description

Description

The Learning & Development Systems Coordinator will coordinate and administer Reena's Learning Management System (LMS) and learning administration processes to support the effective delivery of organizational learning programs. The Learning & Development Systems Coordinator is responsible for maintaining learning systems, training records, compliance reporting, learner support, and learning administration while collaborating with internal stakeholders to support organizational compliance and ensure efficient, accurate, and accessible learning services across the organization.

Note: This posting is a new position.

Key Responsibilities:

1. Learning Management System (LMS) Administration

  • Administers the day-to-day operation of Reena's Learning Management System (LMS) and related learning platforms.
  • Maintains learner profiles, enrolments, course configurations, learning pathways and system settings.
  • Ensures the accuracy, integrity and confidentiality of learner and training data.
  • Troubleshoots LMS access, enrolment and system-related issues, escalating technical issues as appropriate.
  • Supports system maintenance, testing, updates and implementation of new LMS functionality.

2. Learner Support

  • Provides first-level support to employees, leaders, external learners and partner agencies regarding LMS access and learning inquiries.
  • Responds to and resolves learner support requests in a timely manner.
  • Resolves enrolment, course access and training record discrepancies.
  • Provides guidance and support on LMS functionality and learning processes.
  • Delivers orientation and ongoing guidance to supervisors and other LMS users on system functionality, learning processes, and available learning resources.

3. Training Records, Compliance & Reporting

  • Maintains accurate records of mandatory training, certifications and learning completion.
  • Monitors training compliance and supports organizational reporting requirements.
  • Generates regular and ad hoc reports to support operational, compliance and audit requirements.
  • Validates learning data to ensure the accuracy and completeness of organizational training records.
  • Maintains documentation supporting certification and recertification requirements.
  • Collaborates with Quality Assurance and operational teams to support ongoing training compliance, registration requirements, and follow-up activities.
  • Conducts routine audits of learning records to ensure data accuracy, training compliance, and completeness.
  • Tracks outstanding training requirements and follows up with supervisors and operational teams, escalating unresolved compliance concerns as appropriate.

4. Course & Learning System Support

  • Supports the setup, maintenance and administration of courses within the LMS.
  • Assists with learning pathway configuration, enrolment rules and course updates.
  • Supports the coordination and administration of instructor-led, virtual and eLearning programs in collaboration with the Learning & Development team.
  • Supports the integration of internal and external learning platforms, where applicable.
  • Maintains course information, learning resources and system documentation.

Qualifications:

Qualifications

  • Three-year diploma or degree in Human Resources, Adult Education, Organizational Development, Business Administration, Social Services, or a related field.
  • Minimum one (1) year of experience supporting learning and development, training administration, learning management systems (LMS), education administration, or a related role.
  • Experience administering or supporting a Learning Management System (LMS) or other learning technologies is considered an asset.
  • Experience working in the developmental services, healthcare, human services, or non-profit sector is considered an asset.
  • Experience supporting compliance reporting, maintaining training records, or conducting administrative audits is considered an asset.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, and PowerPoint) and the ability to learn and adapt to new technologies.
  • Experience in maintaining databases, learner records, and generating reports with a high degree of accuracy.
  • Excellent organizational, time management, and administrative skills, with the ability to manage multiple priorities and meet deadlines.
  • Strong verbal, written, interpersonal, and customer service skills.
  • Demonstrated professionalism, adaptability, and commitment to continuous learning.
