Join Our Team

We are seeking a highly organized and detail-oriented Office Manager to oversee the day-to-day administrative and financial operations of two affiliated companies. This is a hands-on role that combines office management, bookkeeping, payroll administration, and financial reporting. The successful candidate will be a proactive professional with strong accounting knowledge, excellent organizational skills, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

Financial & Accounting

  • Manage the full accounts payable (AP) and accounts receivable (AR) cycle.
  • Prepare and issue customer invoices.
  • Process customer payments and follow up on outstanding accounts.
  • Generate and distribute customer statements.
  • Reconcile bank, credit card, and general ledger accounts.
  • Assist with month-end and year-end financial processes.
  • Maintain accurate financial records and supporting documentation.
  • Monitor cash flow and assist with budgeting and financial reporting.
  • Implement and monitor cost control measures to support operational efficiency.
  • Work closely with management to identify cost-saving opportunities and improve financial processes.

Payroll & Human Resources Support

  • Process payroll accurately and on time for multiple entities.
  • Maintain payroll records and ensure compliance with applicable legislation.
  • Administer employee records, vacation tracking, and payroll deductions.
  • Assist with onboarding paperwork and general HR administration as required.

Office Management

  • Oversee daily office operations and administrative functions.
  • Coordinate office supplies, equipment, and vendor relationships.
  • Answer phones, manage correspondence, and provide exceptional customer service.
  • Maintain filing systems, both electronic and paper.
  • Coordinate meetings and assist with scheduling.
  • Support management with administrative projects and reporting.

Multi-Company Administration

  • Manage accounting and administrative functions for two affiliated companies.
  • Ensure transactions are accurately allocated between companies.
  • Maintain confidentiality and accuracy while handling multiple sets of financial records.

Qualifications

  • Minimum 3-5 years of experience in an Office Manager, Bookkeeper, or Accounting Administrator role.
  • Advanced proficiency with QuickBooks (required).
  • Strong understanding of accounts payable, accounts receivable, payroll, reconciliations, and bookkeeping principles.
  • Experience processing payroll and maintaining payroll compliance.
  • Excellent Microsoft Office skills, particularly Excel.
  • Exceptional organizational and time management skills.
  • Strong attention to detail with a high degree of accuracy.
  • Ability to work independently while managing multiple priorities.
  • Excellent verbal and written communication skills.

Assets

  • Experience managing accounting for multiple companies or entities.
  • Experience with cross-border accounting or business operations (Canada/U.S.).
  • Knowledge of import/export documentation, foreign currency transactions, or cross-border taxation is considered an asset.
  • Post-secondary education in Accounting, Business Administration, or a related field.
