Introduction

We are seeking an Administrative Assistant to join our North America Market Area (NCA) Administration team. You will be responsible for providing comprehensive office and clerical support services, including coordination of daily administrative activities, preparation of reports and communications, and executive support. Your role plays a crucial part in ensuring efficient office operations and effective communication, which will positively impact leadership effectiveness, employee experience, and overall business continuity. In this position, you will report to the Senior Manager, Human Resources.

This position is mainly located in Montreal and is a 15 month fixed term contract, based on site four days per week. Some local travel is required.


Team you belong to

You will join a team of administrative and operational support professionals dedicated to enabling the business through reliable, efficient, and high-quality office administration services. The team strives to support leadership, employees, and business initiatives by ensuring smooth day-to-day operations and clear internal and external communication.
We are currently supporting organizational initiatives, executive operations, internal communications, and local program rollouts.
We work closely with internal and external stakeholders such as senior leadership, employees, vendors, service providers, and corporate functions. Our team culture is all about collaboration, accountability, flexibility, and a service-oriented mindset. Team members are primarily located in Montreal, supporting regional and international objectives.


What you’ll do

• Coordinate day-to-day office administration services to ensure efficient and reliable operations
• Prepare and assist with reports, spreadsheets, presentations, and ad-hoc management requests
• Develop and distribute internal and external business communications
• Prepare, edit, and manage correspondence, including letters, memorandums, and reports
• Manage incoming and outgoing mail, courier services, and vendor cheque distribution
• Arrange and coordinate travel, meetings, conference calls, and expense reports for the NCA Market Area President
• Plan and coordinate events such as meetings, office gatherings, and employee functions
• Support the local implementation of new policies, programs, and organizational initiatives


Who you are

• College degree or equivalent education and training
• Minimum 2+ years of experience in office administration or a similar role
• Fully bilingual in French and English (required)
• Proficient in Microsoft Office (Word, Excel, PowerPoint)
• Highly organized, self-directed, and able to manage multiple priorities in a fast-paced environment
• Strong interpersonal, verbal, and written communication skills
• Demonstrated ability to work collaboratively across teams and departments
• Nice-to-have: Experience with SAP and exposure to international business environments

Introduction

Nous sommes à la recherche d’un(e) adjoint(e) administratif(ve) pour se joindre à notre équipe Administration – Marché Amérique du Nord (NCA). Vous serez responsable de fournir un soutien administratif et clérical complet, incluant la coordination des activités administratives quotidiennes, la préparation de rapports et de communications, ainsi que le soutien aux cadres. Votre contribution aura un impact direct sur l’efficacité des opérations de bureau, la qualité des communications et l’expérience employé, tout en soutenant efficacement le leadership et la continuité des activités.

Dans ce poste, vous relèverez de la directrice des Ressources humaines.
Ce poste est principalement basé à Montréal et est offert sous forme de contrat à durée déterminée de 15 mois, avec une présence sur site de quatre jours par semaine. Des déplacements locaux occasionnels sont requis.

Vous ferez partie d’une équipe de professionnels en soutien administratif et opérationnel qui se consacrent à offrir des services l’entreprise grâce à des services d’administration de bureau fiables, efficaces et de grande qualité. L’équipe joue un rôle essentiel dans le soutien à la direction, aux employés et aux initiatives d’affaires, en assurant des opérations quotidiennes fluides et une communication interne et externe claire.

Nos activités couvrent notamment le soutien aux opérations de la direction, les communications internes, le déploiement de programmes locaux et diverses initiatives organisationnelles.

Nous collaborons étroitement avec des partenaires internes et externes, incluant la haute direction, les employés, les fournisseurs, les prestataires de services et les fonctions corporatives. Notre culture d’équipe repose sur la collaboration, la responsabilisation, la flexibilité et une forte orientation client. Bien que les membres de l’équipe soient majoritairement situés à Montréal, nous soutenons des objectifs tant régionaux qu’internationaux.

Ce que vous ferez

• Coordonner les services administratifs quotidiens afin d’assurer des opérations efficaces et fiables
• Préparer et contribuer à l’élaboration de rapports, feuilles de calcul, présentations et demandes ponctuelles de la direction
• Élaborer et diffuser les communications d’affaires internes et externes
• Préparer, réviser et gérer la correspondance, incluant les lettres, mémorandums et rapports
• Gérer le courrier entrant et sortant, les services de messagerie et la distribution des chèques aux fournisseurs
• Organiser et coordonner les déplacements, réunions, conférences téléphoniques et rapports de dépenses pour le président du marché Amérique du Nord (NCA)
• Planifier et coordonner des événements tels que des réunions, des activités de bureau et des événements pour les employés
• Soutenir la mise en œuvre locale de nouvelles politiques, programmes et initiatives organisationnelles

Profil recherché

• Diplôme d’études collégiales ou formation/expérience équivalente
• Minimum de 2 ans d’expérience en administration de bureau ou dans un rôle similaire
• Bilingue français et anglais (obligatoire)
• Maîtrise de la suite Microsoft Office (Word, Excel, PowerPoint)
• Excellentes capacités d’organisation, autonomie et aptitude à gérer plusieurs priorités dans un environnement dynamique
• Solides compétences interpersonnelles et excellentes aptitudes en communication écrite et verbale
• Capacité démontrée à collaborer efficacement avec différentes équipes et départements
• Atout : Connaissance de SAP et expérience dans un environnement d’affaires international
