We invite you to join the world of luxury hospitality at Fairmont Palliser as our new Sales Coordinator. Inspire and create the grandest experience for our guest, clients and colleagues every day. Reporting to the Senior Sales Manager.

Key Responsibilities

  • Manage effective relationships within the Sales & Events team, as well as with other high tough departments throughout the hotel
  • Coordinate and support all aspects of sales & event activities including taking initial inquiries, run rates and processing welcome amenities
  • Maintain an accurate count of all Sales collateral, order supplies for department & maintain printer
  • Set up Passkey Booking link requests
  • Send SecurePay links when needed/ensuring pass on to Accounting
  • Send out Block Cut-off Reports every Friday to Sales & Events team
  • Assist Director of Sales & Marketing with Payroll in Dayforce, ensure Sales & Events calendar updated
  • Coordinate ALL Meeting Planner points; complete form to credit/maintenance of records
  • Administer DART referral leads
  • Prepare proposals, contracts, event materials, and collateral, while assisting in managing leads and inquiries to ensure accurate and timely communication with clients and partners. Liaise with clients in absence of Sales Manager
  • Assist in planning and coordinating conferences, conventions, and meetings, including reviewing client needs, budgets, and event requirements.
  • Support the sales & events team by conducting research, managing leads, and preparing groundwork that enabled them to secure new business opportunities.
  • Assist with financial processes by reviewing contracts, tracking billing, processing invoices, and maintaining accurate event records.
  • Provide support for event managers to organize and detail programs including accommodations, audio-visual, signage, and other administrative procedures and progress of events
  • Process/turn-over confirmed group sales contracts and distribute through proper channels internally
  • Other duties as assigned

Qualifications

What will you bring to this role?

  • A university degree or college diploma in business, tourism or hospitality administration is an asset
  • Knowledge of Opera Cloud and Cvent preferred
  • Excellent knowledge of MS Word, Excel, PowerPoint, Windows
  • Excellent communication skills and command of English language
  • Highly detail-oriented with excellent organizational skills
  • Articulate, self-motivated, energetic and positive team-player
  • Confident, well-groomed, pleasant telephone and personal disposition
  • Desire to learn and advance within the Sales team/division
  • Enjoys challenges, works well under time pressure, thinks ahead and is extremely committed to the job
