Position Summary
The Centre for Public Safety and Well-Being (CPSW) and the Faculty of Human and Social Sciences Centre for Professional Development are Centres within the Faculty of Human and Social Sciences. These Centres offer exciting learning opportunities through professional development programs for people working or aspiring to work in a wide range of industries, including government sectors, public safety, health, and wellness and well-being.
As a key member of the CPSW/FHSSPD team, the Administrative Assistant takes a strong customer service approach to their work and has natural entrepreneurial attitude. The position requires solid demonstrated experience in administrative support, research skills, project management and marketing. An in-depth understanding of program and curriculum development and academic processes would be ideal.
Under the leadership of the Manager, FHSS Continuing Education, the Administrative Assistant is responsible for the day-to-day organization of current CPSW programs and activities, playing a pivotal role in participant communication and enrolment, administration of our student information/registration system, marketing and program recruitment and social media communications.
The Administrative Assistant - CE will work with a high degree of independence, exercising judgment and discretion in the organization and performance of duties. The incumbent will have a combination of strong administrative and coordination skills, with accuracy and attention to detail. Experience in the Public Safety and/or Well-Being fields and social media and marketing is an asset.
Accountabilities
Program Coordination
- Develop and manage processes to ensure that projects, and their communication, run smoothly and efficiently
- Corresponds with prospective participants, promoting program benefits, payment options, differentiators, etc. to meet target enrolments
- Coordinates participant enrolment and databases and liaises with DestinyOne administrators to ensure registration and D2L courses are correct and ready for use
- Advises current participants on routine matters, problem solve issues and provides an exceptional participant experience
- Assists with the development of, and facilitates and co-ordinates special events, workshops and activities
Communication and Marketing
- Establishes and builds cooperative relationships with community partners, project partners, curriculum developers and internal partners such as eLearning, and FHSS
- Monitors, maintains and updates the CPSW//FHSS/Destiny websites and social media accounts
- Researches recent publications, marketing initiatives and communication strategies from competitor institutions
- Collaborates with the Manager to develop, execute, monitor and assess the marketing plans for Centres’ programs and projects
- Reviews and recommends action based on analytics employed to measure the success of marketing campaigns and projects
- Collaborates with Creative Services to design, write and create promotional pieces for Centre projects (print, web, email, screen and social media), adhering to the university’s style guide and brand standards
- Develops external contacts and resource networks for promotion of projects and programs
- Attends trade shows or speaking engagements to promote programs when appropriate
Qualifications
- Minimum of high school plus one-year post-secondary and 2 years related experience
- Demonstrated excellence in administrative and organizational skills (able to handle multiple projects and competing deadlines)
- Excellent interpersonal skills with the ability to establish and maintain trust and credibility and build relationships both internally and externally
- High level of competence in using various software platforms such as learning management systems and registration/student information systems
- Experience in creating marketing materials
- Demonstrated ability in utilizing social media as an effective marketing tool, with knowledge of various platforms
- Detail oriented and the ability to execute all tasks at a very high degree of accuracy
- Proven exceptional skills in customer service and the ability to interact and communicate effectively with faculty, students, staff, alumni and the greater community
- Knowledge of curriculum design/online learning is an asset
- Experience with event planning is considered an asset
- Experience in the Public Safety, government and/or Well-Being fields is an asset
Hours of Work
This is a part-time, limited term opportunity for a duration of one (1) year. The regular hours of work are 20 hours per week, between Monday and Friday. Flexibility in hours may be required due to periods of high volume. When possible, the manager will adjust hours so that no more than 20 hours are worked in a week.
This position is eligible for a flexible work arrangement, as per Policy 8.14 (Flexible Work Policy). All arrangement must be approved by the direct manager. In-person attendance for events, as required to meet operational needs, is expected. On occasion, this schedule may need to be adjusted to meet operational requirements.
Compensation
Level: B
Rate of pay: $31.86 to $33.68 per hour with an annual step progression on anniversary date up to $36.41 per hour.
Considerations for new hire step placements include, qualifications and length/depth of required experience, relevant market rates for similar jobs, internal equity, and estimated learning curve in starting the job.
