Overview
Reporting directly to the Senior Vice President, Healthcare Businesses, the Executive Assistant provides support to the Healthcare Businesses senior leadership team.
Through execution of primary responsibilities and accountabilities, the role is key to helping the organization attain its strategic and operational goals.
Primary Responsibilities
The Executive Assistant is accountable for providing full administrative support to 1 Senior Vice President and 3 Vice Presidents.
Accountabilities :
- Manage daily calendar including scheduling of meetings and appointments
- Booking all travel arrangements
- Managing and filing of expenses
- Preparation of all correspondence (letters, memos, presentations) using various software packages
- Coordination of offsites for the leadership team, including, but not limited to creating agendas, selecting venues, coordinating logistics, and making other necessary arrangements
- Responsible for prioritizing and redirecting mail and telephone calls as appropriate
- Follow up and act as a liaison with various individuals both internally and externally, at all levels of the organization
- Other administrative support including filing, faxing and photocopying as required
- Assist with special projects as required
Skills, Experience & Education
- Minimum 5 years of previous experience in an administrative role
- Strong computer skills (Excel, Word, PowerPoint, Outlook)
- Excellent interpersonal and communication skills (written and verbal)
- Previous experience in planning and managing coordination of events preferred
- Ability to work in a highly organized manner where attention to detail, accuracy and confidentiality are critical
- Adaptable and flexible individual
- Ability to work effectively as part of a team
- Self-motivated, able to work under minimal supervision
- High level of professionalism and ability to deal effectively with all levels within the organization as well as external contacts
- Demonstrated ability to work in a fast-paced environment and manage multiple priorities
