We are currently seeking an Executive Assistant, Finance to support Fednav’s Chief Financial Officer and her team. An important aspect of this role is to be an effective liaison with various external stakeholders such as the Audit Committee, the external auditors, and other service providers as well as internal stakeholders across the company and members of the senior management team.
The ideal candidate is renown to be proactive, resourceful, adaptable, and highly autonomous, especially in preparing meeting materials.
WHAT YOU'LL BE DOING THE ROLE
Key responsibilities will be to :
- Partnering closely with the CFO and assist in all initiatives and projects in the team evolution journey.
- Providing key administrative support to the CFO and the Finance team members.
- Leading the preparation and distribution of various reports and documents to ensure that stakeholders are equipped with relevant material for timely decision making.
- Preparing senior level presentations and communication briefings, acting as a leadership channel to ensure action items are communicated and followed up on.
- Assisting with some accounting and financial tasks as required, such as preparation of financial statements and other related documentation.
- Leading and designing the implementation of efficient processes to ensure the successful completion of important team initiatives.
WHAT YOU BRING THE PERSON
- Post-graduate degree in Administration, secretarial studies or a combination of education and relevant experience.
- Minimum 8-10 years of experience in an Executive Assistant role.
- Very good knowledge of MS Office (PowerPoint, Word, Excel, Adobe, Outlook) with excellent skills in document creation and design.
- Proven experience interacting with senior management.
- Strong sense of discretion and the ability to maintain confidentiality, offering a professional demeanor and high level of diplomacy.
- Ability to build and foster strong partnerships within the team and across the rest of the organization.
- Ability to thrive in an independent and dynamic environment without a lot of guidance and manage ambiguity and competing priorities.
- Ability to manage multiple projects, switching seamlessly between them and the ability to handle stressful situations in a calm and controlled manner.
- Strong detail-orientation, strategic, and data-driven able to work with both quantitative and qualitative data, understanding immediate roadblocks, urgent asks, and long-term initiatives.
