The COO will serve as the operational backbone of the company. This role focuses on optimizing day‑to‑day management, coordinating field operations, and elevating standards across the entire portfolio. You’ll oversee a team of five administrators, guide them through building visits, ensure proper execution of procedures, and strengthen operational discipline across leasing, maintenance, tenant relations, compliance, and financial performance. This is a leadership role that demands deep property‑management experience, strong decision‑making, and the ability to structure systems as the company scales. The role is based full‑time in the Park Avenue office, with regular on‑site visits across the portfolio.
Responsibilities
Oversee all daily operations for 500+ residential doors across multiple Montréal locations, ensuring consistent performance and proactive issue resolution.
Lead, mentor, and manage five administrators by offering guidance, coaching, and accountability to strengthen their operational effectiveness.
Conduct thorough on‑site visits with administrators to confirm buildings meet company standards for maintenance, cleanliness, compliance, and tenant satisfaction.
Build and refine operational systems, workflows, and reporting structures to improve efficiency, streamline communication, and reduce avoidable delays.
Ensure timely and accurate execution of maintenance requests, unit turnovers, leasing activities, tenant interactions, and overall building upkeep.
Review financial performance of the entire portfolio, including budgets, expenses, revenue targets, and opportunities for cost optimization.
Implement consistent policies and standardized processes across all properties to create strong alignment and reduce operational inconsistencies.
Coordinate closely with ownership on building needs, capital project planning, renovations, and long‑term asset management strategies.
Identify operational risks, recurring challenges, and system gaps, then implement preventive measures to maintain smooth building operations.
Support hiring, onboarding, and continuous training of property staff to strengthen team capabilities and prepare for portfolio growth.
Qualifications
Extensive experience in residential property management, ideally overseeing a portfolio of similar size, complexity, and geographic spread.
Proven leadership background managing teams, administrators, or multi‑building operations with an ability to drive performance and clarity.
Strong operational acumen with the ability to build structure, enforce standards, introduce systems, and create scalable processes.
Demonstrated experience conducting building inspections, resolving tenant concerns, coordinating administrative tasks, and handling day‑to‑day operations.
Comfortable working in a hybrid environment of in‑office coordination and field‑based oversight, with the ability to balance both effectively.
Strong communication and problem‑solving skills with the ability to manage complex workloads, prioritize demands, and resolve escalations.
Familiarity with Montréal rental regulations, leasing standards, building compliance requirements, and local tenant / landlord expectations is an asset.
Compensation
Salary range : $100,000 – $130,000, depending on experience and leadership background.
