The Project Coordinator (PC) will support the day-to-day coordination and operation of the University of Waterloo’s Global Water Futures (GWF), Global Water Futures Observatories (GWFO) Programs and the Ecohydrology Research Group.

Under the direction of the Ecohydrology Principal Investigators (PI), the PC will also provide support with project management activities for projects that might not be exclusively funded by the GWF programs, but for which the Ecohydrology researchers are a PI or co-investigator.

The PC will work on multiple projects that are at various stages of completion (. for the full project life cycle or on specific aspects of the project as needed).

As many of the projects feature team members, stakeholders and organizations from various disciplines across academia, industry, government and community members, the PC should be comfortable working with teams and individuals reflecting this level of diversity.

The GWF / GWFO research program aims to equip communities, government agencies and other users with useful, predictive and adaptive tools needed to address the water-related challenges faced by cold regions under rapidly changing environmental conditions.

The program integrates water research at many field sites and across many disciplines from 18 Canadian Universities with partners in several Canadian and international government agencies, industry, international research institutions, and community partners and stakeholders.

The Ecohydrology Research Group, funded by various grants, includes a diverse group of researchers focusing on water-related environmental issues of social significance.

This position is contingent on funding.

Responsibilities

Project coordination

  • Support project team at various stages of the research project to ensure deliverables and milestones are met in accordance with project’s scope, benefits, impacts, budget and timeline goals
  • Support the preparation of research proposals
  • Provide support for regular reporting requirements, including metrics related to stakeholder and partner engagement, Highly Qualified Personnel (HQP) mobility, and knowledge translation
  • Initiate and maintain relationships with external partners / stakeholders
  • Assist with administration and financial management of project accounts
  • Become knowledgeable in funding opportunities and their policies potentially applicable for project research activities, particularly for partnership with industry, NGOs, and international collaborators
  • Conduct administrative duties (. analytical billing, budget tracking, travel claims)
  • Assist with staff and student pay (work with PIs for payroll allocations, co-op student pay, graduate student stipends)
  • Participate in the hiring of new co-op students (create postings, conduct interviews, hire through Workday)
  • Support colleagues and students . fielding general questions; helpfully linking researchers with relevant colleagues, partners and resources;

ensure communication of relevant information

Coordination of Outreach activities

  • Plan and coordinate outreach events (. workshops, lecture series, seminars)
  • Coordinate meetings, draft minutes and action items and ensure action items are completed in a timely way
  • Liaise with Water Institute and University of Waterloo communications personnel to promote GWF and other projects achievements, event, etc.
  • Maintain content relevant to external partners / stakeholders / public on the Ecohydrology, GWFO websites and other projects website as needed
  • Set up / maintain relevant social media accounts (. Facebook, X,
  • Updates the Microsoft Teams project site(s) with relevant information
  • Assist with the production of end user documentation as needed
  • Support the project team with the creation and improvement of processes, procedures, and tools in collaboration with staff.
  • Create products for knowledge dissemination, such as booklets, information video, tables, charts, reports, conference posters, and journal articles

Science Research Procurement and Technical support

  • As authorized by PI, procurement of lab and field supplies for projects within project budget and as per university of Waterloo policies
  • Communicate with external and internal partner(s) about technical development and design components of project as needed (.

for method clarification)

Assist with preparing materials for knowledge dissemination and training for new systems and technical components for use in lab and / or field settings as required

Qualifications

  • Degree in Environmental Sciences or related discipline; graduate degree preferred
  • Must have a minimum of 1 year work experience as a project coordinator in an academic setting
  • Ability to work effectively in a team and independently to manage multiple and competing priorities, and to adapt to a changing environment
  • Excellent written and verbal communication skills including the ability to provide and present timely and relevant feedback / reporting to various stakeholders
  • Ability to exercise leadership without formal authority and work in a team environment
  • Business maturity and awareness with topics and matters that are confidential and sensitive
  • Demonstrated ability to apply new concepts, tools, and processes
  • Attitude and aptitude for continuous improvement and change management coupled with a pragmatic and flexible approach to getting things done;
