JOB SUMMARY
The Health Information Management Specialist is responsible for helping to maintain, organize, and process health records and patient information.
This role will support and be guided by Bayshore’s Health Information Standards related to Health Records Management and adhere to the privacy management principles related to access / correction and disclosure of personal information.
This would include, access and release of information including, conducting search, validating consent, extracting, scanning and preparing records, managing retention, and de destruction schedule, data quality activities, and other duties as assigned.
Reports to Director Clinical Adoption, Health Informatics & Privacy operating for Integrated Care Solutions Division.
DUTIES AND RESPONSIBILITIES
Establish and demonstrates knowledge, skills and competencies in Health Information Management standards and practices including :
- Assemble charts of all discharged patients in the prescribed fashion, making sure that each page carries the patient’s name, hospital number and date of admission.
- Completes scanning of the medical record documents after verifying all documents are completed in entirety as per Bayshore’s policy and procedure.
- Process patient discharges in the EMR and transfers record to appropriate hospital.
- Adhere to Bayshore’s record retention / storage and destruction standards, guided by privacy legislation, regulated colleges and applied business contractual agreements.
- Perform access / system user audits at set frequencies as per Bayshore privacy audit policy.
- Support in the tracking / monitoring and reporting of access / disclosure requests.
- Assist in the completion of quarterly Continuous Quality Improvement Activities.
- Checks physician billing for approval.
- Support patient discharge activities and procedures.
- Involved in the disclosure, correction and lockbox of personal information.
REPORTING RELATIONSHIPS
This role will have dual reporting to the Corporate Director of Clinical adoption, health informatics & Privacy and Integrated Care Solutions Director of Data, Digital health and projects
Type of Role : This is a hybrid position that may require periodic travel to our Markham office or Units
Job Qualification
QUALIFICATIONS
Education
- Graduate of an accredited Health Information Management Program
- Certification with the Canadian College of Health Information Management (CCHIM) and be an active member in good standing with CHIMA
Experience
- 2 years’ experience (previous hospital or long-term care setting considered an asset)
- Excellent knowledge of the Personal Health Information Protection legislation and other legislation and statutes that govern health information management, confidentiality and release of information
- Proficiency in the collection, preparation, processing, interpretation and display of data and information
- Strong understanding of Health Information Management Fundamentals, data flows and interfaces
Other Skills and Abilities
- Demonstrated effective organizational skills with the ability to prioritize workload and meet deadlines
- Change management skills
- Excellent keyboarding skills (with a minimum typing speed of 55 WPM
- Proficient computer skills in windows-based systems Word, Excel, Outlook and Powerpoint
- Experience using EMRs and Digitally literate.
- Excellent customer relations and problem-solving skills
- Ability to work at a high-volume level of accuracy.
- Excellent communication skills and ability
- Ability to work well with frequent interruptions and manage multiple tasks
- Ability to work as a team member as well as autonomously
- Excellent attendance
