The Design Administrator will be flexible and work effectively in a fast-paced environment, providing support to the Design Department.
This role includes ensuring comprehensive communication and efficient flow of all required paperwork between the Sites and the various Home Office departments.
Your contributions to the team: Providing administrative support to the Design & Development teams.
Creating Purchase Orders, Sub-Contracts, and CO’s for engineers and other external stakeholders.
Collaborating with other departments to maintain company policies and procedures.
Printing and binding project drawings and specifications for permit and construction.
Completing accurate and timely data entry using different software and programs.
Uploading, organizing, and maintaining project drawings and files for department consistency.
Coordinating invoice reviews and approvals in a timely fashion.
Maintaining and updating project assignments and schedules with guidance of others.
Scheduling and minuting project meetings Other administrative tasks, as requested.
What you need to be successful: Minimum two years’ experience as an Administrative Assistant Experience using Dayforce and Vista by Viewpoint an asset but not required Effective verbal and written communication skills Exceptional organizational abilities with task prioritization, multi-tasking and time management techniques Ability to work well with others in a fast-paced construction office environment Understanding of building/site design and/or construction an asset.
