  • Prepare purchase orders and place approved orders, following company purchasing and approval procedures.
  • Track outstanding orders, follow up with suppliers, and keep the team informed of delays.
  • Help follow up on shortages, damaged goods, returns, and pricing or invoice discrepancies, with support when needed.
  • Keep quotes, purchase orders, packing slips, and related records organized.

Inventory & Receiving

  • Receive and check incoming shipments against purchase orders and packing slips.
  • Enter new equipment and update inventory and asset records accurately and promptly.
  • Check stock levels and flag items that may need to be reordered.
  • Assist with regular inventory checks and annual physical counts.
  • Help investigate inventory differences and provide supporting records to Accounting and Operations.

Administration & Budget Support

  • Gather quotes and prepare simple cost comparisons for department managers and annual equipment budget planning.
  • Update tracking sheets for approved equipment purchases and actual costs.
  • Prepare basic purchasing and inventory reports and maintain supporting documentation.
  • Work with other departments to confirm purchasing needs and priorities.
  • Share practical suggestions to help improve existing purchasing and inventory routines.

Skills & Qualifications

Strong organizational skills, attention to detail, and accuracy in data entry and recordkeeping.

  • Ability to prioritize daily tasks, meet deadlines, and follow through on outstanding orders and requests.
  • Proficiency with Microsoft Office, including email and basic Excel spreadsheets, and the ability to learn new software.
  • Clear written and verbal communication skills and the ability to work effectively with suppliers and internal departments.
  • Ability to work independently on routine tasks, seek clarification when needed, and adapt to changing priorities.
  • One to two years of related experience in purchasing support, inventory control, shipping and receiving, or administration involving orders and inventory records.
  • Some post-secondary education or training in business administration, supply chain, logistics, accounting, or a related area. A certificate, diploma, or relevant coursework is suitable.

Why Join Our Team?

At our company, you'll be more than just an employee—you'll be an important part of a close-knit team where your contributions are valued and your ideas are encouraged.

You'll have the opportunity to work across multiple areas of the business, build strong vendor partnerships, contribute to continuous improvement initiatives, and play a key role in ensuring our operations run efficiently. If you're someone who enjoys taking ownership, building relationships, solving problems, and making a meaningful impact, we'd love to hear from you.

Our values—Family, Honesty, Accountability, Excellence, and Teamwork—guide how we work with our customers and each other.
