About the Role
On behalf of our client, a well-established wellness clinic specializing in massage therapy, we are seeking a Customer Service Coordinator to support daily front desk operations and client experience. This role is a key front-line position responsible for coordinating reception functions, supporting scheduling, and ensuring a smooth and professional clinic environment.

You will act as the primary point of coordination for front desk activities, providing guidance to reception staff while focusing on execution and service excellence.

Key Responsibilities
Front Desk & Client Experience
  • Front Desk Coordination: Oversee daily reception operations to ensure efficient client flow and a consistently high standard of service.
  • Client Communication: Respond to client inquiries in person, by phone, and electronically in a timely and professional manner.
  • Reception Support: Provide guidance to reception staff on booking inquiries, scheduling challenges, and client service matters.
  • Issue Resolution: Address client concerns promptly and escalate matters to Management as appropriate.
  • Environment & Presentation: Maintain a clean, organized, and welcoming reception and client-facing environment.
Scheduling, Administration & Operations
  • Scheduling Oversight: Manage the clinic schedule to ensure optimal appointment utilization and accuracy of bookings.
  • Billing & Payments: Coordinate payment processing and insurance billing, including submissions and follow-up where required.
  • Records Management: Maintain accurate client records and ensure administrative documentation is current and organized.
  • Staff Coordination: Support onboarding and provide ongoing guidance to reception staff on processes, systems, and expectations.
  • Inventory Management: Monitor supply levels and coordinate ordering to ensure the clinic remains fully stocked and operational.

Qualifications & Requirements
  • Education: High school diploma or equivalent required; post-secondary education in business administration or a related field is an asset.
  • Experience: Previous experience in a front desk, administrative, or customer service role is required. Experience in a healthcare or wellness environment is preferred.
  • Technical Skills: Strong proficiency with scheduling systems and standard office software. Experience with insurance billing is an asset.
