Join a Collaborative Investment Operations Team and Support End-to-End Trade Processing.

This is an excellent opportunity for an experienced financial services professional to join a well-established Canadian wealth management organization in a Portfolio Administrator capacity.

The Portfolio Administrator provides accurate and timely back-office support across investment products involved in end-to-end trade processing. This role is ideal for someone with strong attention to detail, analytical ability and a collaborative mindset.

Working as part of the Portfolio Administration team, the successful candidate will support trade processing, settlement, documentation and compliance while partnering with internal teams to deliver operational excellence and exceptional client service.

Who – The Company

Our client is a respected Canadian wealth management organization with a strong reputation for client service, professionalism and a collaborative team culture.

This is an opportunity to join an established investment operations environment where accuracy, teamwork and high-quality service are central to the work.

What – The Opportunity

SWIM Recruiting has been engaged to recruit a Portfolio Administrator to provide back-office support across the investment trade lifecycle.
The successful candidate will work closely with Portfolio Management and other internal teams, reviewing recommendations, entering trades, supporting settlement and maintaining accurate documentation.

This role will suit someone who is detail-oriented, organized and comfortable managing multiple priorities in a regulated financial services environment.

What You'll Be Doing

  • Monitor custom programs daily for new Portfolio Management recommendations and input trades into trade ticket systems.
  • Review Portfolio Manager recommendations and help ensure accurate and timely trade execution and settlement.
  • Identify issues, assist in determining corrective actions and support compliance requirements.
  • Scan and update Portfolio Management recommendation documents for the trading group.
  • Collaborate with Planning and Project teams to meet objectives and support ongoing projects.
  • Stay current on industry trends and proactively identify opportunities to improve processes and solutions.
  • Support the team with other duties as assigned, adapting to changing business priorities.

Who – The Candidate

Our client is seeking a reliable and detail-oriented financial services professional who understands the importance of accuracy, timeliness and compliance in investment administration.

You bring strong organizational and analytical skills, communicate professionally and work effectively as part of a team. You are comfortable taking direction, accepting responsibility and prioritizing multiple tasks while maintaining a high degree of accuracy.

What We're Looking For

  • Post-secondary education or related experience in finance or investment administration.
  • Minimum two years of back-office experience in financial services.
  • Understanding of investment products and trade processing.
  • High accuracy rate in data entry and strong attention to detail.
  • Analytical and mathematical ability.
  • Awareness of regulatory requirements and the importance of compliance in investment activities.
  • Excellent interpersonal and communication skills, both written and verbal.
  • High degree of professionalism and maturity.
  • Ability to take direction, accept responsibility and manage multiple tasks.
  • Strong time-management skills and the ability to prioritize effectively.
  • A collaborative, team-oriented approach and adaptability in a changing environment.

Who Will This Opportunity Appeal To?

This could be an excellent opportunity for someone who:

  • Has at least two years of back-office experience within financial services and wants to continue building their investment operations experience.
  • Enjoys detail-oriented work where accuracy and timely execution are critical.
  • Is comfortable working with investment products, trade processing and transaction documentation.
  • Values teamwork and enjoys collaborating across Portfolio Management, Planning, Project and trading teams.
  • Approaches problems methodically and takes ownership of resolving issues.
  • Thrives in a professional environment where priorities can evolve and adaptability is valued.

This role offers the opportunity to contribute directly to accurate and timely trade processing while supporting operational efficiency, data integrity, team collaboration and regulatory compliance.
