Job description

The Facility Coordinator is responsible for supporting the daily operations of the facility through administrative tasks, supply management, vendor coordination, and basic janitorial upkeep. This role ensures the building remains clean, stocked, safe, and well‑maintained, while also keeping all maintenance activities on track.

Van-Kam Freightways Ltd. (Van Kam) is one of the largest regional carriers in Western Canada specializing in less‑than‑truckload (LTL) transportation. With 8 terminal locations across British Columbia, we fulfill shipments to communities within 1–3 days throughout BC and Alberta. Between our own resources and our partner network, our coverage extends beyond Western Canada into the U.S. and Eastern Canada.

Key Responsibilities

Administrative Support

  • Handle daily administrative tasks related to facility operations.
  • Maintain organized records of maintenance schedules, service agreements, and facility documentation.
  • Process and track work orders, service requests, and follow‑ups.
  • Assist internal teams with facility‑related inquiries.

Facility, Supply & Janitorial Management

  • Perform daily cleaning and maintenance of all facility areas, including entrances, offices, boardrooms, lunchrooms, washrooms, and stairways.
  • Conduct routine tasks such as vacuuming, mopping, sweeping, dusting, surface sanitization, and waste disposal, ensuring a clean, safe, and professional environment.
  • Restock washroom and kitchen supplies, monitor inventory, and notify management when replenishment is needed.
  • Clean and sanitize kitchen appliances and shared surfaces.
  • Complete periodic deep‑cleaning tasks, including high‑dusting, stain removal, disinfecting high‑touch areas, and maintaining flooring standards.
  • Inspect facilities to identify cleanliness issues, safety hazards, or minor maintenance needs, and report them promptly.
  • Support minor facilities upkeep such as spot cleaning, tidying shared spaces, and ensuring meeting rooms are reset and presentable.
  • Coordinate with management and vendors as needed to maintain facility standards and ensure smooth day‑to‑day operations.
  • Vendor & Service Coordination

  • Serve as primary contact for external vendors, contractors, and service providers.
  • Schedule, coordinate, and follow up on maintenance, repairs, and cleaning services.
  • Review vendor invoices, confirm work completion, and assist with approvals.
  • Maintenance Tracking

  • Keep maintenance logs updated and ensure timely completion of preventive and scheduled maintenance tasks.
  • Report facility issues promptly and track resolution.
  • Assist with health, safety, and compliance checks.
  • Qualifications & Skills

  • Experience in facility coordination, administration, or janitorial work is an asset.
  • Strong organizational and time‑management skills.
  • Ability to multitask and work independently.
  • Effective communication and vendor‑management skills.
  • Basic knowledge of facility systems, maintenance, and cleaning procedures.
  • Proficiency with MS Office (Outlook, Excel, Word).
