The Summer Student Data Entry Clerk works as a team member within Neighbour’s Tenancy Services to ensure that the department operates efficiently and effectively, by supporting those staff who directly operate housing and provide stability for tenants. The successful candidate’s work strengthens the capacity of office staff, through their provision of data entry and clerical services in administration, reception, and program support for Neighbours tenants.
Job Requirements
Competencies:
Third/fourth-year university student or recent graduate.
Attention to Detail – Ensures data and tenant records are entered accurately.
Organization Skills – Keeps files, documents, and records well organized.
Basic Computer Skills – Comfortable using Microsoft Office and data systems.
Communication Skills – Communicates clearly with staff, tenants, and visitors.
Customer Service – Friendly and respectful when greeting tenants and answering calls.
Time Management – Able to complete tasks and reports within deadlines.
Professionalism & Confidentiality – Handles tenant information responsibly and follows organizational policies.
Job Responsibilities
Administrative duties may include but are not limited to: • Ensure accuracy of tenant identifying information in information software like Yardi and TREAT. • Preparation of statistics and reports related to occupancy and tenants using Microsoft Excel. • Assist Tenancy Services in achieving regular deadlines for monthly reports on occupancy. • Conduct internal lease audit, ensuring legal lease is up to date and accurate for all tenants. • Improve organization of tenancy files. • Create documents for the departments including letters, lists, charts, and documents for tenants. • Assist to implement the Resident Portal and assist to improve digital equity for tenants withing the organization. • Perform other administrative/program support as a student for the Tenant Member Services department. Reception Relief duties may include but are not limited to: • Cheerfully greet tenants and other visitors, provide known information, and endeavor to obtain answers from colleagues who can best help their concerns. • Answer and respond to telephone calls in a courteous manner, retrieve messages from voice mail and redirect as necessary for dissemination of information required by workers and management. • Receipt and confirmation of maintenance/cleaning/pest-control work order requests received through main phone line and enter data into the property/finance YARDI Voyager Information System. • Open in-coming non-confidential mail and distribute within head office. • Ensure external communications such as general office mailings, and courier runs are sent out in a timely manner. • Sign as required goods are accepted, make sure supplies are received in good form, matching shipping document to purchase order and supplier’s invoice, place supplies in inventory, and track Personal Protective Equipment. • Trouble-shoot mal-functioning of office equipment including the photocopier, TTY machine, and postage meter. • Participation in regular supervisory sessions with the Manager of Tenancy Services. Other General Office/Organization duties may include, but are not limited to: • Identification and recommendations for improvement of the department/office. • Contribution to achievement of inclusive objectives of the organization and work environment. • Demonstrate understanding of Neighbours’ policies as provided at orientation. As a condition of employment, a successful police record check for Vulnerable Sector is required. Candidates must be legally entitled to work in the country where this role is located.
