We are looking for a Vendor Management Specialist to join us at our client maintaining Supplier Relationship Management (SRM) of Technology and Information Services vendors.
You will focus on building, maintaining and enhancing relationships with the vendors and internal stakeholders and ensuring that governance and contract related activities are in line with the executive strategy and overall policies.
This role will work directly with the VMO Manager, TIS Vendor Management Office (VMO) to ensure the effective management of vendor relationships and outcomes and minimize duplication of effort.
- Conduct vendor management leadership and managerial duties in alignment with the strategic direction, mission and vision of the Vendor Management Office (VMO).
- Collaborate with internal stakeholders including TIS, Supply Chain Management, Legal and Business Partners to execute established practices for vendor management and ongoing vendor governance.
- Minimize and mitigate adverse risks to TIS (commercial, operational, legal, regulatory, etc.)
- Ensure compliance of vendor agreements to established vendor management practices (e.g., articulation of playbooks, service level compliance, deliverables and obligations compliance, etc.).
- Foster a culture of success through a clear engagement plan, and meeting performance targets.
- Develop internal and external policies, standards, methodologies, templates etc. for effective vendor governance.
- Conduct operational duties in alignment with internal and external policies, standards and processes for vendor interaction.
- Create, leverage and support the maintenance / enhancement of tools for use in vendor management, including vendor tracking, analytics and performance management tools (scorecards and dashboards).
- Serve as the account-level point of contact between the vendor organization and internal customers consuming vendor services and solutions.
- Ensure the collection, consolidation and communication of reporting and data on assigned vendor contracts, performance, risk and relationships to key stakeholders and vendors.
- Contribute to the account level governance forum and provide overview of vendor activities as needed.
- Oversee the evaluation and monitoring of contracts and compliance to the contract.
- Support IT vendor negotiations, in collaboration with SCM and Legal, including pre-proposal, RFP and post-award negotiations.
Support major deal negotiations for enterprise wide products and services.
- Support the sharing of knowledge, best practices and learning within the field of vendor management.
- Chair Account Level vendor governance forums and coordinate Executive Level governance forums.
- Seek out feedback on performance of the vendor and services supplied.
- Work with SCM in the maintenance of agreements with vendors, and ensure that they are current / up to date.
- Work with SCM to track key dates (expirations, renewals) and assess demand.
- Maintain up to date spend information on assigned vendors.
- Manage vendor relationships as the account level point of contact between specified vendors and the business.
- Serve as the account level point of escalation for vendor issues and disputes, and drive those issues to resolution.
- Adhere to the established communication process with vendors, including what information should be communicated, when and by whom, to ensure that appropriate leverage is preserved.
- Manage the measurement and reporting of vendor performance, including the development of evaluation tools based on constituent requirements, and the creation of scorecards and dashboards that will accurately present this data.
- Ensure that the metrics used to evaluate performance of assigned vendors are properly tied to business outcomes and bias-free, and that the associated communications around these metrics are clear.
- Conduct periodic appraisal of the contract, involving the relevant service owners to ensure continued value for money realization from the arrangements.
- Identify synergies, seek continuous improvement opportunities, and implement initiatives to drive service delivery optimization, savings, operational efficiencies and third party risk mitigation.
- Execute integration of vendors to deliver services in a cohesive and efficient manner.
- Identify and manage vendor risks that can lead to financial losses, business disruptions, and regulatory interventions.
- Manage transitioning in and out of a vendor, aligned to the contract, including the planning, monitoring and reporting of the transition.
- Support Senior Executives with vendor and market analysis, reports and presentations to enable effective decision making.
KNOWLEDGE, SKILLS, ABILITIES :
- A bachelor's degree in a related field (business, supply chain management, computer science or similar)
- Seven or more years of professional experience in Vendor Management, IT Service Delivery, or Supply Chain Management with an IT focus.
- Proven leadership experience with / or managing global IT service vendors. Self-motivated professional with extensive knowledge of large-scale outsourcing contracts.
- Outcome driven mindset with measurable results that contribute to value creation and bottom-line financials.
- Strong base understanding and capability to explore market knowledge, developments and trends related to current offerings and the vendor landscape.
- Ability to communicate key messages related to collaboration with vendors and internal teams, driving alignment, delivering value, managing risk, optimizing resources and managing performance.
- Strong analytical, problem-solving and reporting skills.
- Demonstrated relationship management skills with experience interacting effectively with a variety of stakeholder groups.
- Ability to create and manage incentives that drive positive vendor behaviors
