PRINCIPAL FOCUS :
The principal focus of this role is to provide exceptional technical customer service and administrative support to our digital imaging customers, management, and staff.
This role supervises and trains the receptionist and also supports the retail and operations management teams.
To succeed in this role, one must have technical expertise in the field of video, photography, lighting, rigging, audio, and drones in order to answer technical functionality and product information for our customer.
Also important is strong administration experience, leadership skills and be an excellent communicator. The incumbent must also have the ability to multitask and prioritize while serving customers online, on the phone and in person.
PRIMARY RESPONSIBILITIES
Reception :
- Responsible for the training, coverage and supervision of the receptionist team
- Prime for call management of the company phone system, manage call volumes and direct phone calls to appropriate departments or individuals.
- Work with our IT team to troubleshoot any 3CX Phone System issues.
- Issue reports to management of service levels.
- Provide system support for phone set-up, changes, and voicemail updates.
- Responsible for all cash transactions, petty cash and completing daily cash closings.
- Maintain security protocols and procedures when handling cash and inventory.
- Management and maintenance of call queues, making changes as necessary.
- Greet and assist customers with technical and product questions, order fulfillment, order changes and payments.
- Issue INVUE security keys and manages the maintenance, loss prevention and allocation of security keys to staff for management.
Administration :
- Provide administrative services support for all stores and departments.
- Organize staff lunches, meetings, and events.
- Interact with other departments to create seamless customer interactions regarding order pick-ups, revisions, payments, and fulfillment related tasks.
- Communicate with couriers, customers, and staff to coordinate the distribution of correspondence, packages, and returns.
Pick Up Area Lead :
- Manage our Pick-Up process from end to end ensuring process compliance and maintenance of orders in our operating system for inventory and security purposes.
- Work with the Inventory Management team to conduct and report on the daily and weekly audits of all outstanding Web Pick-Up orders.
- Provides technical support and augments orders with additional products and services when required by the customer.
Qualifications :
- Education and experience in the digital imaging field having a broad range of technical and product knowledge in the areas of photography, video, lighting, audio, rigging and drones.
- Experience as an Administrative or Executive Assistant
- 2+ years minimum customer service experience
- Strong working knowledge of Microsoft Office Suite
- Experience working with ERP systems and collaboration tools
- Well organized, time management skills
